Position Summary
Reports To: Billing Specialist
The Billing Technician is responsible for the accurate and timely preparation, review, and distribution of invoices for petroleum inspection, laboratory testing, sampling, marine, terminal, and related field services. This position works closely with inspectors, laboratory personnel, operations staff, and clients to ensure all services performed are billed correctly in accordance with customer contracts, rate schedules, and company procedures. The Billing Technician plays a critical role in revenue capture, billing accuracy, and customer satisfaction.
Qualifications
- High school diploma or equivalent required; Associate’s degree preferred.
- Minimum 1–2 years of billing, accounting, administrative, or related experience.
- Experience in petroleum inspection, laboratory testing, marine cargo, terminal operations, or a related industry preferred.
- Strong attention to detail and analytical skills.
- Proficient in Microsoft Excel, Outlook, and other Microsoft Office applications.
- Experience using QuickBooks Online or similar accounting software preferred.
- Strong organizational and communication skills.
- Bilingual (English/Spanish) preferred, but not required.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
Essential Duties & Responsibilities
- Review inspection reports, laboratory testing records, sampling documentation, and service orders to ensure all work performed is accurately invoiced.
- Generate customer invoices using QuickBooks Online and internal billing spreadsheets.
- Verify charges against client-specific rate schedules, contracts, and billing instructions.
- Process billing for petroleum inspection, laboratory testing, vessel services, tank transfers, terminal operations, sampling activities, inventory services, and related field work.
- Maintain and update billing spreadsheets, pricing schedules, and customer billing records.
- Coordinate with branch personnel, inspectors, laboratory staff, and management to resolve billing discrepancies and obtain clarification on services performed.
- Submit invoices to customers via email, customer portals, and electronic invoicing systems.
- Monitor unbilled jobs and assist in ensuring all completed services are invoiced timely.
- Generate billing reports and revenue summaries as requested by management.
- Assist with customer inquiries regarding invoices, supporting documentation, and billing details.
- Provide invoice backups and supporting documentation to customers when requested.
- Support Accounts Receivable activities by assisting with payment inquiries and account reconciliations.
- Identify billing errors, pricing discrepancies, and process improvement opportunities.
- Maintain confidentiality of customer and company financial information.
- Perform other billing and administrative duties as assigned.
Preferred Knowledge & Experience
- Knowledge of petroleum inspection and testing services.
- Familiarity with vessel operations, terminal transfers, tank gauging, sampling procedures, and laboratory testing processes.
- Experience working with customer-specific pricing agreements and service contracts.
- Experience managing large volumes of invoices and billing data in Excel.

Job Type: Full-time
Pay: $50,000.00 - $60,000.00 per year
