Bellwether Mechanical Systems, Inc. is seeking an experienced Dispatcher to join our growing team. We are a full-service mechanical contractor providing service, maintenance, replacement, and construction for commercial, residential, and light commercial HVAC systems, including controls.
Duties & Responsibilities
- Receive customer phone calls and email requests for service with a warm, professional demeanor.
- Contact customers to schedule, confirm, and reschedule service appointments while maintaining preventative maintenance schedules.
- Select and dispatch appropriate service technicians based on job requirements, availability, and location.
- Maintain positive working relationships with customers, technicians, and vendors.
- Procure job-related materials, tools, and equipment from vendors for technicians.
- Schedule warehouse personnel and drivers as required.
- Ensure customer satisfaction through prompt resolution of customer concerns and complaints.
- Coordinate and schedule field labor to maximize efficiency and productivity.
- Generate and issue purchase orders for technicians.
- Ensure technicians submit completed paperwork in a timely manner and review work orders for accuracy and completeness.
- Process monthly preventative maintenance reports.
- Track service contracts and preventative maintenance agreements to ensure compliance with contract terms.
- Maintain organized records of service contracts, work tickets, quotes, and completed jobs.
- Maintain refrigerant management documentation and assist with technician truck stock inventory control.
- Set up and process sold jobs and service contracts as assigned by supervisors.
- Support service department operations and perform other administrative duties as assigned.
Requirements/Qualifications
- Ability to lift, carry, and move materials, supplies, and equipment weighing up to 25 pounds.
- Perform other duties as assigned to support the Service Department and company objectives.
- Experience: 1 to 3 years of experience in customer service, dispatching, administrative support, scheduling, or inside sales. Experience within the HVAC, mechanical, construction, or service industry is strongly preferred.
- Strong customer service, communication, and problem-solving skills.
- Excellent organizational skills with the ability to prioritize and manage multiple tasks in a fast-paced environment.
- Proficiency with Microsoft Office (Outlook, Word, and Excel) and the ability to learn service management software.
- Ability to work effectively with customers, technicians, vendors, and internal team members.
- Strong attention to detail and accuracy in scheduling, work orders, purchase orders, and contract documentation.
- Ability to occasionally access warehouse inventory, organize files, and assist with loading or moving light equipment and materials as needed.
- Certifications/Licenses: Valid driver's license with a good driving record.
