About the Role
We’re seeking a motivated, self-starting professional to support our day-to-day data entry and administrative operations. This hand-on role is ideal for someone who enjoys wearing multiple hats. Responsibilities include:
- Entering bills and invoices into QuickBooks,
- Collections outreach for past due accounts
- Help process paperwork from our crews
This is a great opportunity for an organized and detail-oriented individual who takes initiative and enjoys contributing across multiple areas of the business.
What You'll Do
- Daily data entry in QuickBooks - bills, invoices, payments, and customer/vendor records
- Accounts Payable: enter bills, print checks for signing, and mailing out payments
- Accounts Receivable: generate and send invoices, follow up on outstanding balances, and run collections
- Support administrative functions including preparing outgoing paperwork for our crews each day, and processing incoming paperwork when crews finish their shifts.
- Keep records organized and accurate so our outside bookkeeping firm can close the books each month
- Work alongside the Operations Manager to keep workflows moving and flag issues early
What We're Looking For
- Solid working knowledge of QuickBooks Online— comfortable with data entry, invoicing, and bill entry
- Strong Microsoft Office skills, especially Excel
- Proven AP/AR experience, including collections
- Self-motivated and dependable — you can take ownership of your work without constant check-ins
- Strong attention to detail and accuracy
- Good communicator who asks questions when needed and learns from the answer the first time
- Comfortable handling bookkeeping and admin tasks in the same day
- Prior experience in trades, construction, or service-industry bookkeeping is a plus
Compensation & Benefits
- Pay: $24–$26/hour, depending on experience
- Health insurance available after 60 days of employment

Vent Tec is a commercial kitchen fire suppression company serving restaurants and food-service operations throughout the Seattle area. We help our clients’ kitchens stay safe, compliant, and operational. We're looking for a detail-oriented Office Administrator / Bookkeeping Assistant to help support back-office functions.
Pay: $24.00 - $26.00 per hour
