Responsibilities
- Serve as the first point of contact for customers via multi-line phone systems, email, and in person at the front desk
- Manage appointment scheduling and calendar coordination using office management tools, CRM software, and Google Workspace applications
- Handle data entry and maintain accurate records through filing, proofreading, and updating customer information in databases such as QuickBooks or other office software
- Provide exceptional customer support by addressing inquiries promptly, resolving issues efficiently, and maintaining professional phone etiquette
- Assist with clerical tasks including filing, photocopying, proofreading documents, and managing incoming/outgoing correspondence
- Support office operations by managing supplies inventory, organizing files, and performing light bookkeeping or basic bookkeeping tasks as needed
- Collaborate with team members to ensure smooth office flow and effective communication across departments
- Manage Social Media accounts and monitor Social Media Platforms for lead generation
Skills
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Excellent organizational skills with the ability to multitask efficiently in a busy environment
- Previous office experience or clerical experience preferred; familiarity with office management practices is a plus
- Knowledge of multi-line phone systems, phone etiquette, and front desk procedures
- Experience with data entry, filing systems, proofing documents, and basic bookkeeping tasks such as using QuickBooks or similar software
- Exceptional time management skills to prioritize tasks and meet deadlines consistently
