Position Title ADMINISTRATIVE OFFICE ASSISTANT III
Position Summary
Performs complex and varied support duties in the areas of student records and registration and office administration. Responsibilities include processing specialized records and registration transactions; responding to inquiries; resolving records and registration-related issues; supporting records and registration systems and business processes; coordinating office website content and budget reconciliation; and performing other duties as assigned by the office leadership or Assistant Registrar/Records and Registration.
Required Qualifications
High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Preferred Qualifications
Knowledge of specific software programs and/or mainframe/systems skills may be desired by the hiring department. (i.e. Excel, Access, SAP).
Demonstrated ability to design/maintain web pages may be desired
Duties & Responsibilities
Maintains and monitors departmental budget of more than $2 million.
Prepares invoices, purchase requisitions, and all office business credit card reconciliation.
Performs duties associated with being a Notary Public.
Maintains Office Website which includes creating content.
Maintains University Calendars.
Serves as the office liaison for various external supports including, but not limited to work orders/Facilities Management, phone, utilities, and technical support.
Interprets University policy and responds to inquiries from students, parents, faculty, University administrators, and outside agencies on the phone and in person.
Complies with provisions of the Family Educational Rights and Privacy Act of 1974 regarding the release of information contained in students' educational records.
Orders and monitors supplies, equipment, and inventory.
Provides exceptional customer service while responding to requests for enrollment verifications, transcripts, class registration, academic calendars/deadlines, and other records and registration inquiries, in accordance with department and University policies and procedures.
Prepares enrollment verifications.
Troubleshoots registration-related issues.
Troubleshoots transcript request issues.
Responds to questions pertaining to various registration holds.
Verifies and changes student address, emergency contact, and FERPA authorization and withholding requests.
Registers senior citizen auditors.
Serves as point of contact in the reception area, assisting walk-in students and visitors, triaging requests, and directing individuals to the appropriate office or staff member to ensure timely and accurate service.
Special projects as assigned by Registrar and Associate Registrar.
Other duties as assigned.
