Experienced Administrative Assistant – Medical Practice

About the Position:
Genesis Medical Group is seeking an experienced, highly organized Administrative Assistant to support the physician-owner of a busy and growing medical group. This is a fast-paced position requiring someone who can stay several steps ahead, prioritize competing demands, communicate professionally, and handle sensitive information with discretion. The ideal candidate is confident working directly with a busy physician executive while also understanding the unique pace and demands of a medical practice. This is not a position for someone who needs extensive direction. We are looking for a proactive, dependable professional who takes ownership, anticipates needs, and gets things done.
Key Responsibilities
- Provide high-level administrative and organizational support to the physician-owner
- Manage a busy calendar, appointments, meetings, and competing priorities
- Coordinate communications and follow-up on behalf of the physician-owner
- Prepare, organize, and maintain documents, correspondence, reports, and other materials
- Assist with day-to-day administrative operations of the medical group
- Coordinate with physicians, clinical staff, vendors, patients, and outside professionals as needed
- Track tasks, deadlines, projects, and follow-ups to ensure nothing falls through the cracks
- Handle confidential and sensitive medical, business, and personnel information with professionalism and discretion
- Assist with meetings, agendas, notes, and follow-up items
- Help troubleshoot administrative issues and independently identify solutions
- Perform additional administrative and organizational duties as needed
What We're Looking For The ideal candidate will have:
- 3+ years of administrative or executive administrative experience, preferably in a medical, healthcare, or professional-services environment
- Exceptional organizational and time-management skills
- The ability to work effectively in a fast-paced, high-demand environment
- Excellent written and verbal communication skills
- Strong attention to detail and follow-through
- Professional presence and excellent interpersonal skills
- The ability to handle confidential information appropriately
- Strong computer skills and proficiency with Microsoft Office/Google Workspace
- The ability to manage multiple priorities without becoming overwhelmed
- Good judgment and the confidence to make appropriate decisions independently
- A proactive mindset — someone who sees what needs to be done and takes action
- Reliability, flexibility, and a strong sense of accountability
