JOB SUMMARY
LIVIC Civil is looking to fill a full-time position for an Administrative Coordinator. This role will support internal operations across Human Resources, Marketing, and Company Culture. The candidate should be flexible and able to adapt to changing activities and workloads, while maintaining a high level of organization and professionalism.
The position will require strong interpersonal skills and an outgoing personality that allows the candidate to effectively collaborate with team members across multiple departments. This individual will play a key role in supporting employee experience, improving processes, and helping drive operational efficiency.
As LIVIC continues to grow, we are always in search of individuals who can contribute to our culture and operations. We have a diverse staff across engineering, design, GIS, and operations, and this role will help support and connect those teams.
Key Responsibilities:
· Assist with general HR administration and employee relations support
· Assist with calendar management
· Support day-to-day office operations including mail, supplies, and general administrative needs
· Coordinate office organization, maintenance, and overall workflow
· Manage applicant tracking, coordinate interviews, and support hiring efforts
· Lead onboarding processes to ensure a smooth and engaging experience for new hires
· Maintain employee records and support compliance with company policies and procedures
· Track PTO usage and assist with payouts in coordination with payroll/finance
· Assist with 401(k) administration and employee inquiries
· Support company culture initiatives and employee engagement efforts
· Coordinate events, team-building activities, and internal celebrations
· Assist with planning conferences, training sessions, and professional development opportunities
· Represent LIVIC Civil at career fairs and recruiting events
· Assist with social media management and content creation
· Develop marketing materials using tools such as Canva
· Support branding efforts across offices, events, and recruiting initiatives
· Help manage and maintain the LIVIC merchandise store and related website updates
· Assist in developing, updating, and implementing company policies and procedures
· Identify opportunities for improved processes and support implementation efforts
· Participate in weekly meetings and prepare agendas and meeting minutes
· Provide general administrative support to the Operations Executive
· Support light project coordination and office management tasks as needed
· Other duties as assigned

QUALIFICATIONS
This position is suited to a self-motivated, organized professional who can confidently support a variety of internal functions. Strong communication, attention to detail, and the ability to manage multiple responsibilities are critical to success in this role. Additional qualifications include:
- Required
- Education: Associate’s or Bachelor's Degree in Business Administration, Human Resources, Marketing, or related field preferred
- Experience: 3-7+ years of experience in administrative, HR, or operations-focused roles
- Ability to:
- Manage time effectively; prioritize and handle multiple tasks and responsibilities
- Work in a team environment as well as independently
- Establish and maintain effective working relationships
- Adapt to changing priorities and follow direction
- Think critically and identify opportunities to improve processes
- Maintain a high level of confidentiality when handling sensitive information
- Communicate and collaborate with executive level team
- Manage clean file structure
- Skills:
- Strong interpersonal and communication skills
- Highly organized with strong attention to detail
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Familiarity with Canva, social media platforms, and general marketing tools
- Authorized to work in the United States
- Preferred:
- Experience in a professional services or engineering environment
- Experience supporting HR functions such as recruiting and onboarding
- Experience with marketing coordination or social media management
- Familiarity with CRM or workflow tools
- Travel to other offices as needed

Pay: $22.00 - $28.00 per hour
