HUB Wealth Strategies is seeking a highly organized, service-oriented Client Concierge to join our advisory team. This individual will serve as a central point of contact between clients and advisors, helping deliver a seamless and exceptional client experience while ensuring operational excellence across the practice.
This role sits at the intersection of client service and operational execution and is critical to maintaining the high standards, responsiveness, and attention to detail our clients have come to expect. The successful candidate will be a trusted extension of the advisory team—relied upon by clients and advisors alike to manage service requests, coordinate planning implementation, and ensure operational workflows are completed accurately, proactively, and on time.
We are looking for someone with sound judgment, exceptional organizational skills, strong follow-through, and the ability to manage multiple priorities in a fast-paced environment.

Key Responsibilities
Planning Implementation & Operational Support
· Support the implementation of financial planning recommendations, including investment management and insurance solutions that stem from broader planning strategies.
· Execute and manage time-sensitive service requests related to investment accounts, insurance policies, and financial planning implementation.
· Process client account maintenance requests, including beneficiary updates, address changes, banking instructions, and required documentation.
· Track all service requests through completion to ensure accuracy, compliance, and exceptional client service.
· Assist in the continuous improvement of workflows, systems, and operational processes.
Calendar Management, Travel Coordination & Event Support
· Coordinate advisor and client calendars, including scheduling meetings and managing logistics.
· Support travel arrangements and coordination for advisors when needed.
· Assist with team meetings, client events, and practice-related functions.
· Proactively manage scheduling conflicts, meeting preparation, and follow-up activities.
Client Service & Relationship Support
· Serve as a primary point of contact for client inquiries and service requests.
· Deliver a polished, white-glove client experience that reflects the firm's commitment to excellence.
· Coordinate and schedule client meetings while ensuring all necessary preparations and follow-up activities are completed.
· Manage multiple client requests simultaneously while maintaining responsiveness, professionalism, and attention to detail.
· Take ownership of client requests from initiation through resolution, ensuring no item falls through the cracks.
· Maintain and update CRM records, tasks, and workflows accurately and consistently.
· Learn and effectively utilize new technologies, systems, and processes that enhance client service and operational efficiency.
Advisor & Team Partnership
· Partner closely with advisors to support meeting preparation, planning implementation, and client follow-up.
· Maintain accurate and up-to-date client records, documentation, and service notes.
· Ensure operational workflows, compliance requirements, and service standards are consistently followed.
· Contribute to a culture of accountability, collaboration, continuous improvement, and execution excellence.
Training, Development & Support
We provide structured onboarding, ongoing training, and continuous coaching focused on our systems, processes, technology, and service standards. The ideal candidate is eager to learn, receptive to feedback, and committed to personal and professional growth.
In addition, the Client Concierge will have access to ongoing training and development opportunities through our relationships with The Bulfinch Group, Guardian Life, and Park Avenue Securities.
Qualifications & Skills
· Two or more years of experience in financial services or a comparable client-facing professional environment preferred.
· Securities industry licenses (SIE, Series 7, and Series 66) are a plus but not required.
· Strong organizational and multitasking skills with the ability to manage competing priorities and deadlines.
· Detail-oriented with a strong commitment to accuracy and follow-through.
· Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint.
· Excellent verbal and written communication skills.
· Ability to handle confidential and sensitive information with professionalism and discretion.
· Demonstrated ability to work independently while collaborating effectively within a team environment.
Compensation & Growth Opportunity
· Base salary range: $80,000–$90,000 annually, based on experience and qualifications.
· Performance-based incentive compensation opportunity of 10%–20% of base salary.
