Consolidated Medical Staffing is seeking an experienced Staffing & Onboarding Specialist to support our established Nashville branch. This is an on‑site position at our Nashville branch. Remote work is not available.
Staffing Duties/Responsibilities:
- Establishes staffing patterns, manages, and maintains schedules for all branch medical staff.
- Assists in securing staff for absences, leaves, etc., adjusting schedules as required.
- Ensure client's schedules are covered, always, and accurately documented in HR/Scheduling system.
- Ability to manage a high volume of incoming calls, while placing several outgoing calls to staff open client shifts, on a timely basis.
- Build honest, sustainable relationships with clients and medical staff.
- Review employee time and attendance reports for accuracy, completeness and make corrections as necessary
- Works with Branch Manager to advise them of staffing needs, terminations, and other information necessary for the smooth flow of work regarding employees.
Onboarding Duties/Responsibilities:
- Consults with the Branch Manager to understand the requirements, duties, and qualifications desired for the specified vacant position(s).
- Screens and interviews interested and qualified candidates
- Checks candidates’ references and credentials, verifying experience and backgrounds.
- Maintains up to date employee credentials
- Completes new hire paperwork, Forms I-9, verifies I-9 documentation via E-Verify, and maintains I-9 files.
- Submits online investigation requests, manages new-employee background checks and drug tests.
- Creates and distributes employee ID badges.
- Prepares and maintains new-employee files.
- Makes photocopies; mails, scans, and emails documents; and performs other clerical functions as requested.
- Maintains and ensures compliance with applicable equal employment opportunity (EEO) and related employment laws and regulations.
Required Skills/Abilities:
- Excellent verbal and written communication skills with aptitude in conducting interviews.
- Excellent organizational, interpersonal, and leadership skills.
- Understanding of EEO, ADA, and other related employment laws and guidelines.
- Must possess an extreme sense of urgency, be dependable and reliable.
- Demonstrates competency, organization, attention to detail, flexibility, and cooperation in performing all job responsibilities.
- Must be able to multi-task in a fast-paced office environment.
- Must have excellent written and oral communication skills in person, on the phone, text, and email.
- Computer literate in operating systems, office suites, and spreadsheets.
- Utilizes excellent customer service and client relationship skills, always, and conveys a positive and professional attitude.
- Maintains strict adherence to confidentiality & HIPAA regulations
- Must possess sensitivity in understanding employees' needs while maintaining a sense of balance to ensure that staffing requirements are met for the facility.
Education and Experience:
- High school education or GED equivalent required.
- Experience in HR/ recruitment with medical staff a plus
- Medical staffing experience a huge plus
