- Manage multi-line phone systems, answer inquiries, direct calls efficiently, and take detailed messages when necessary
- Handle scheduling tasks such as calendar management and appointment setting using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and maintain accurate records for office documentation and correspondence
- Support office management by coordinating supplies, managing incoming mail, and overseeing basic clerical duties like proofreading and document preparation
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
- Provide excellent customer support by addressing inquiries professionally and maintaining high standards of phone etiquette
Experience
- Previous office or administrative experience demonstrating strong organizational skills and attention to detail
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Experience with multi-line phone systems, data entry, filing, and general clerical duties
- Bilingual abilities are highly valued to serve diverse client needs effectively
- Knowledge of office management practices, customer service principles, and administrative procedures such as proofreading and calendar management
- Familiarity with medical or dental receptionist duties is a plus but not required; relevant personal assistant experience is also beneficial
