The Alaska Tribal Administrators Association (ATAA) is a statewide nonprofit organization dedicated to strengthening the administrative capacity of Alaska Tribal governments. We provide Tribal Administrators with practical support, training, peer networking, and affordable professional services tailored to the unique realities of Tribal governance in Alaska.
POSITION SUMMARY:
We are seeking a dependable, adaptable, and professional Member Services Coordinator to join our team. This member-facing position is responsible for providing exceptional service and support to Tribal Administrators throughout Alaska while supporting the day-to-day administrative and member service operations of the Association. Working in a professional office environment, this position represents ATAA to members, partners, stakeholders, and the public.
Dependability, professionalism, and consistent attendance are essential. Members, volunteers, partners, and Board leadership rely on this position to provide responsive support and help ensure the smooth day-to-day operations of the Association.
This position may transition to full-time status based on organizational needs.
PRIMARY RESPONSIBILITIES:
Member Services
- Serve as the primary point of contact for member inquiries.
- Support membership recruitment, onboarding, and engagement activities.
- Maintain accurate membership records and the membership database.
- Assist prospective members with the membership application process.
- Prepare and distribute membership materials, including welcome packets and renewal notices.
- Provide guidance and support to members applying for one-time professional development grants.
- Conduct member outreach and follow-up to strengthen engagement, retention, and member satisfaction.
Administration
- Manage incoming calls and answer general inquiries.
- Maintain and coordinate shared calendars.
- Provide general administrative support, including maintaining organizational records and document libraries in SharePoint, data entry, and distributing materials.
- Develop standardized templates, applications, and processes based on funding initiatives.
- Support purchasing activities through ATAA's established check request and procurement procedures.
- Assist with implementation of organizational initiatives.
- Maintain organizational procedures, templates, and standardized processes.
Event Management
- Support planning and execution of the Annual Symposium.
- Organize and coordinate internal and external meetings and events.
- Coordinate meeting logistics for Board of Directors and committee meetings.
- Prepare meeting materials, agendas, and meeting packets as assigned.
- Record meeting minutes and maintain official meeting records as assigned.
Communications & Social Media
- Develop and schedule social media content.
- Prepare and distribute member communications and organizational announcements.
Volunteer Coordination
- Manage and coordinate volunteer outreach initiatives.
Other
- Perform other duties as assigned to support organizational goals.
REQUIRED QUALIFICATIONS:
- Three or more years of progressively responsible administrative, customer service, member services, nonprofit, or office management experience.
- Excellent written, verbal, and interpersonal communication skills.
- Excellent customer service skills with the ability to build positive relationships.
- Strong organizational skills with the ability to prioritize multiple projects and meet deadlines.
- Demonstrated ability to work independently, exercise sound judgment, and manage multiple priorities with minimal supervision.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Experience creating and scheduling social media content.
- Familiarity with platforms such as Mailchimp, SurveyMonkey, or similar.
- Proficient in Microsoft Office (Word, Excel, Outlook, and PowerPoint), Microsoft 365, and comfortable utilizing Apple computer systems
PREFERRED QUALIFICATIONS:
- Experience working with Alaska Tribal governments, Alaska Native organizations, nonprofit organizations, or rural Alaska communities.
- Familiarity with membership management software.
- Experience using SharePoint and Microsoft Teams.
- Experience coordinating meetings, conferences, training events, or professional development activities.
