POSITION PURPOSE:
The Showroom & Events Lead is responsible for the day-to-day operations, presentation, and hospitality of our 11,000-square-foot showroom, ensuring an exceptional experience for clients, partners, and employees. In addition to overseeing showroom operations, this role partners with the Senior Manager, Brand Experience to execute client events, trade shows, and VIP experiences while providing operational and administrative support for key marketing initiatives. The ideal candidate is a highly organized, proactive professional who thrives in a fast-paced, design-driven environment and is passionate about delivering exceptional brand experiences.
Essential functions and basic activities:
- Cross-Functional Collaboration: Partner closely with Marketing, Sales, Product Development, Facilities, Operations, and external vendors to coordinate day-to-day showroom activities, events, planning meetings, and collaborative activations. Foster strong cross-functional relationships, communicate proactively, and ensure projects are executed seamlessly while aligning with business priorities and delivering a consistent brand experience.

Manage purchase orders, invoices, and expense tracking for showroom operations, events, and marketing initiatives, ensuring timely processing, accurate financial reporting, and adherence to budget.

Organize the end-to-end logistics of industry events, sponsorships, and brand activations, including vendor and venue coordination, registration management, catering, audio-visual requirements, promotional materials, attendee communications, RSVP tracking, scheduling, and on-site logistics to ensure a seamless event experience.

Manage the procurement, tracking, and delivery of textile, wallcovering and acoustic materials, and samples for trade shows, sponsorships, showroom décor, photoshoots, and other marketing initiatives, ensuring all items arrive accurately and on time.
Showroom
- Champion the visual integrity and operational excellence of the showroom, ensuring every detail supports the brand experience and inspires visitors.

Oversee the presentation, organization, functionality, and readiness of all showroom spaces—including client-facing areas, conference rooms, hospitality spaces, and back-of-house environments—ensuring they are fully equipped, well-stocked, AV ready and operating seamlessly.

Ensure the seamless day-to-day operation of the showroom through effective management of vendors, security, janitorial services, facility repairs, compliance, supply inventory, and storage areas.
- Manage the logistics and coordination of decommissioning, relocating, and distributing furniture, materials, fixtures, and displays to internal facilities, building tenants, dealers, designers, and other approved recipients.

Serve as the primary point of contact for showroom visitors, delivering a welcoming and elevated guest experience. Track showroom traffic, client interactions, and business opportunities, while coordinating sample and asset requests with Inside Sales to ensure timely follow-up and exceptional customer service.

Oversee the inventory, organization, and replenishment of product samples, the product library, marketing materials, showroom assets, and office supplies, ensuring all resources are well-maintained, accurately tracked, and readily available to support daily operations.
Events and Tradeshows

Partner with the Senior Manager, Brand Experience to plan and deliver best-in-class showroom and off-site events, ranging from intimate client gatherings to large-scale industry experiences accommodating 50–500+ guests.

Oversee the on-site execution of showroom and off-site events, including setup and teardown, vendor and staff coordination, troubleshooting, and event operations. Attend and co-host after-hours and occasional weekend events to ensure a seamless guest experience.
- Coordinate hospitality and logistical arrangements for local and off-site meetings, internal events, and major trade shows; including meeting space, hotel room blocks, dining reservations, transportation, and other event-related accommodations to ensure a seamless experience for attendees and guests.

Coordinate travel, accommodations, and personalized itineraries for VIP clients, collaborators, and special guests, ensuring a seamless, elevated experience through proactive communication and exceptional attention to detail.
Marketing

Monitor industry publications, media coverage, and relevant news for Momentum product and brand mentions, sharing key insights with Marketing and Design teams while maintaining an organized archive. Manage the company's industry subscriptions, memberships, and publication database, ensuring registrations and resources remain current and accessible.

Stay informed on key customer milestones, successes, and celebrations, proactively identifying opportunities to recognize and celebrate clients with thoughtful gifts, personalized acknowledgements, and memorable touchpoints that reinforce long-term relationships.
- Provide proactive administrative support to Marketing and Senior Leadership, preparing and communicating strategic documents such as showroom and events calendar, event metrics, lead generation, inventory, and other relative key performance indicators for stakeholders.
Ideal Qualifications
- 3-5 years of experience in event planning, hospitality, showroom management, or experiential marketing.
- Exceptional organizational and project management skills with the ability to successfully manage multiple priorities, complex logistics, and competing deadlines in a fast-paced environment.
- Demonstrates outstanding attention to detail, proactive planning, sound judgment, and the ability to anticipate needs, solve problems independently, and execute with accuracy, professionalism, and a consistently high standard of excellence.
- Flexibility to work evenings and occasional weekends to support showroom events, client engagements, and industry functions.
- Strong knowledge of Chicago's restaurants, hotels, cultural attractions, transportation, and local amenities, with the ability to curate exceptional experiences for clients, guests, and collaborators.
- Exceptional written, verbal, and interpersonal communication skills, with the ability to engage confidently with clients, executives, vendors, and cross-functional teams.
- Proven experience managing vendor relationships, contract negotiations, and event budgets with a strong focus on quality, cost management, and timely execution.
- Advanced proficiency in Microsoft Office Suite and experience using project management platforms such as Asana, Monday.com, Smartsheet, or similar tools to manage projects, timelines, and cross-functional collaboration.
- Experience in commercial interiors, architecture, interior design, hospitality, luxury brands, or contract furnishings is a plus.
