The Assistant to the Director of HR & Corporate Delivery provides high-level administrative, HR generalist, and general operational support to the Director of HR & Corporate Delivery. This role is essential to keeping the Director's day-to-day work organized and efficient, while also handling front-line HR generalist responsibilities such as onboarding coordination, employee documentation, and support for recruitment, engagement, and compliance activities. The ideal candidate is highly organized, discreet, and comfortable moving between administrative tasks and hands-on HR support in a fast-paced environment.
Key Responsibilities
Administrative Support
- Manage the Director's calendar, scheduling meetings, L10s, and offsite sessions.
- Prepare agendas, take minutes, and track action items for Flywheel Team and PM Team L10 meetings.
- Draft, format, and proofread correspondence, reports, presentations, and internal communications.
- Support company vehicle acquisition and related administrative tracking and paperwork.
- Maintain organized digital and physical filing systems for HR and Corporate Delivery records.
- Assist in preparing monthly project and performance reports.
- Track deadlines, follow up on outstanding items, and help ensure the Director's priorities stay on schedule.
- Handle confidential information with discretion and sound judgment.
HR Generalist Support
- Support full-cycle recruitment efforts by working with the team recruiter including screening applicants, scheduling interviews, and coordinating candidate communications.
- Assist with new hire onboarding, including paperwork, orientation scheduling, and account/system setup coordination.
- Maintain accurate and up-to-date employee records and HR files in compliance with company policy and applicable law.
- Help administer employee engagement surveys and compile results for review.
- Support payroll processing tasks, including data collection and verification, under the Director's guidance.
- Assist with compensation-related administrative tasks such as tracking commission calculations and bonus payouts.
- Help coordinate training and development program logistics.
- Provide administrative support for Predictive Index (PI) assessments and related tracking.
- Serve as a point of contact for routine employee questions, directing more complex issues to the Director.
- Support planning and execution of company-wide events, celebrations, and team-building activities.
General Assistant Duties
- Anticipate the needs of the Director and proactively manage recurring tasks and deadlines.
- Act as a liaison between the Director and internal departments, external partners, and vendors.
- Assist with special projects and cross-functional initiatives as assigned.
- Perform other administrative and operational duties as assigned to support the HR and Corporate Delivery functions.
Qualifications
- Associate's or Bachelor's degree in Business, Human Resources, or a related field preferred, or equivalent relevant experience.
- 2+ years of experience in an administrative, executive assistant, or HR generalist/coordinator role preferred.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Proficiency in Microsoft Office; familiarity with HRIS and project management tools a plus.
- Excellent written and verbal communication skills.
- Ability to handle sensitive and confidential information with discretion.
- Familiarity with EOS (Entrepreneurial Operating System) and Predictive Index (PI) a plus, but not required.

Job Type: Full-time
Pay: $45,000.00 - $65,000.00 per year
