- Provide direct administrative support to the Director of Quality, including preparing reports, presentations, and communications.
- Assist with preparation of PIC slides and quality performance summaries for each region.
- Coordinate quality documentation and information flow between corporate quality and project sites.
- Assist in collecting quality and welding data from project sites, including:
- Welding status and progress
- Welder continuity and qualification status
- Rework data and key quality performance indicators (KPIs)
- Learn to manage and support Smartsheet, Power BI, and other reporting tools for quality metrics and trend analysis.
- Support trend tracking and analysis related to welding metrics and Root Cause Analysis (RCA)
- Maintain and update company‑wide quality logs, including:
- Non‑Conformance Reports (NCR) logs
- Repair and Alteration logs
- Quality resource logs
- Maintain electronic quality file packages and assist with verifying documentation for completeness and accuracy.
- Assist with the preparation and maintenance of turnover packages for fabrication shops when required.
- Assist in developing code compliance packages for project sites without assigned Quality Control Inspectors.
- Support the preparation and maintenance of quality documentation to meet applicable codes, standards, and client requirements.
- Assist with revisions and updates to the Quality Manual and Standard Operating Procedures (SOPs).
- Ensure correct document revisions are maintained and posted on company systems such as Austin Net and Egnyte.
- Support Egnyte Uniform File Structure (UFS) compliance reviews at both corporate and project levels.
- Maintain qualification and certification files for Quality Control personnel and other quality resources.
- Assist in organizing and filing:
- Inspector and Quality Control EO credentials
- Welder qualification records (including entry into UKG when required)
- Resumes and qualification documentation
- Maintain files for NDE subcontractors, including Level III letters and certifications.
- Assist in preparing Root Cause Analysis (RCA) reports and presentations.
- Provide general clerical support, filing, tracking, and organization of quality records as needed to support audits and client reviews.
- High school diploma or equivalent required; Associate’s degree or related coursework preferred.
- Minimum 2–5 years of administrative or clerical experience, preferably in construction, industrial, or engineering environments.
- Experience supporting quality, safety, or technical departments strongly preferred.
- Proficiency with Microsoft Office (Excel, Word, PowerPoint).
- Strong organizational skills with a high attention to detail and document accuracy.
- Ability to manage multiple tasks and priorities across multiple projects and regions.
- Experience in the oil, gas, chemical, or heavy industrial construction industry.
- Familiarity with QA/QC terminology, welding documentation, and industrial codes.
- Experience with Smartsheet, Power BI, Egnyte, UKG, or similar systems.
- Exposure to quality management systems (QMS), audits, or regulatory compliance environments.
- Ability to interpret basic quality documentation and technical records.
