Practice Director

About the role
A growing outpatient psychiatry practice offering child and adolescent psychiatry, therapy, dietitian services, and neuromodulation (neurofeedback/TMS) treatment. We currently have a team of 13+ providers across psychiatry, therapy, dietitian services, and neuromodulation, with continued growth planned on the therapy side.
We're looking for an experienced practice operations leader to oversee the business side of the practice — administrative team leadership, vendor and facilities management, compliance, and day-to-day operations — so clinical leadership and ownership can stay focused on patient care and growth instead of operational administration.
Key responsibilities
Team & HR leadership
- Directly supervise the administrative and support team (front office, scheduling, billing)
- Lead hiring, onboarding, and performance management for administrative staff
- Partner with clinical directors on onboarding logistics for incoming clinicians
- Coordinate staff scheduling, coverage planning, and manage conflict
- Administer compensation structures and HR policies in partnership with ownership
- Track and analyze front desk performance and communication.
Operations & patient flow
- Oversee scheduling and patient flow across all service lines
- Monitor new-patient intake pipeline and provider calendar utilization; identify and resolve and gaps in provider calendars
- Oversee EHR/practice management system issues — including provider setup, schedule changes, and troubleshooting — partnering with front-office staff on day-to-day administration
Vendor & facilities management
- Manage vendor relationships and contracts across the practice, including our outside billing partner for the TMS program
- Oversee facilities and space-related matters, including lease management and coordination with the landlord
- Handle office and equipment procurement, maintenance, and troubleshooting with outside vendors
Financial administration
- Track and report monthly financial and operational KPIs to ownership
- Support budgeting and overhead tracking
Credentialing & compliance
- Design and implement the HIPAA compliance program and staff training
- Ensure all processes are documented as standard operating procedures, maintain and enforce SOP’s
- Track provider licensing and renewal deadlines
Marketing & communications support
- Serve as the practice's point of contact with our outside marketing/social media partner
- Keep the newsletter and content calendar on schedule
Everything else
- Oversee day to day operations and handle issues that arise.
- Partner with ownership on growth planning as the practice continues to scale
What you bring
- 2+ years of healthcare practice management or operations experience; experience with a multi-disciplinary behavioral health group strongly preferred
- Demonstrated experience managing vendor contracts, leases, or facilities — comfortable being the point of contact for outside partners
- Strong HR/people leadership and conflict-resolution skills
- Bachelor's degree in healthcare administration, business, or related field required; Master's (MHA/MBA) a plus
- CMPE or CPPM credential a plus, not required

Owner / Medical Director
Pay: $85,000.00 - $105,000.00 per year
