Key Responsibilities
Accounting Support
- Process customer invoices and payments with precision, catching errors before they become problems
- Proactively maintain and audit customer records, identifying gaps or outdated information and resolving them without prompting
- Reconcile accounts and scrutinize financial documents, applying sound judgment to flag inconsistencies and determine appropriate follow-up
- Respond to account inquiries with confidence and clarity, serving as a reliable resource for internal teams who depend on accurate financial data
- Anticipate routine accounting needs and stay ahead of deadlines rather than reacting to them
HR & Administrative Support
- Independently manage employee file organization and documentation uploads, ensuring records are complete, current, and compliant
- Coordinate candidate communications and phone screens with professionalism, keeping the hiring process moving without hand-holding
- Take initiative in posting job advertisements and maintaining applicant tracking records with minimal oversight
- Identify inefficiencies in administrative workflows and suggest or implement practical improvements
- Handle document preparation, scheduling, and general office support with a solutions-first mindset
Qualifications
- Associate's degree or higher in accounting, business, or a related field
- Experience in an accounting support or office operations role
- Proficiency in QuickBooks Online and Microsoft Office (Excel, Outlook, Teams)
- Demonstrated ability to work independently, prioritize effectively, and meet deadlines without close supervision
- Strong analytical and critical thinking skills — you connect the dots, not just complete the checklist
- Clear, professional communication and strong phone etiquette
- Proven integrity when handling sensitive financial and personnel information
- A proactive mindset: you look ahead, ask the right questions, and solve problems before they escalate
Job Type: Full-time
Pay: $46,000.00 - $48,000.00 per year
