Overview
We are seeking a dynamic and highly organized Office Administrator to join our team and ensure the smooth operation of our office environment. This vital role involves managing administrative tasks, coordinating communication, and supporting daily office functions with energy and professionalism. Responsibilities
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
- Oversee calendar management and scheduling for meetings, appointments, and events using productivity software and Google Workspace tools
- Perform data entry, maintain filing systems, and update spreadsheets to ensure accurate record-keeping and easy retrieval of information
- Handle clerical duties such as proofreading documents, word processing, and preparing correspondence with attention to detail
- Support bookkeeping activities using QuickBooks to assist with invoicing, expense tracking, and financial record management
- Coordinate office supplies procurement, inventory management, and equipment maintenance to sustain an organized workspace
- Provide exceptional customer service by assisting clients or visitors with inquiries and ensuring their experience is positive
Experience
- Proven office management or administrative experience in a fast-paced environment with a focus on customer support and clerical tasks
- Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and productivity software
- Experience with multi-line phone systems, phone communication protocols, and maintaining professional phone etiquette
- Familiarity with data entry processes, filing systems (digital and physical), and document proofreading
- Prior experience in personal assistant positions is a plus
- Demonstrated organizational skills with the ability to prioritize tasks efficiently while managing time effectively
