Job Description:
The HR Operations Coordinator will own the full preboarding and onboarding process from offer acceptance through new hire orientation and post-onboarding follow-up while ensuring an exceptional employee experience. This role is responsible for coordinating pre-employment activities, maintaining accurate employee records within UKG, supporting recruiting initiatives, managing the HR inbox, and assisting with HR operational projects and process improvements.
Qualifications:
- Bachelor's degree in Human Resources, Business, or a related field (or equivalent HR experience).
- 2 – 5 years of Human Resources, HR Operations, or related administrative HR experience.
- Hands-on experience managing employee onboarding and HR operations.
- Experience maintaining employee records within an HRIS (UKG preferred).
- Strong attention to detail with exceptional organizational and multitasking skills.
- Excellent verbal and written communication skills.
- High level of discretion when handling confidential information.
- Strong customer service mindset with the ability to support employees, candidates, and leadership.
- Ability to work independently while collaborating closely with HR leaders.
- Analytical mindset with strong problem-solving skills.
- Healthcare or multi-site experience preferred.
- PHR or SHRM-CP certification (or desire to obtain certification) is a plus.
Key Responsibilities:
- Own the full preboarding and onboarding process from offer acceptance through Day 1 and post-onboarding follow-up.
- Coordinate background checks, drug screens, reference checks, and all required pre-employment documentation.
- Maintain accurate employee records in UKG, including new hires, transfers, terminations, and employee updates.
- Coordinate New Employee Orientation (NEO), including scheduling, onboarding materials, documentation, and system access.
- Serve as the primary point of contact for onboarding updates, troubleshooting, and cross-functional coordination.
- Screen resumes, source candidates, coordinate interviews, and support recruiting activities.
- Monitor and respond to the HR inbox while providing exceptional customer service to employees, candidates, and leaders.
- Ensure data integrity across HR systems and support HRIS process improvements.
- Assist with documenting and maintaining HR Standard Operating Procedures (SOPs).
- Identify opportunities to improve HR processes and enhance the employee experience.
- Support additional HR projects and administrative responsibilities as assigned.

Additional Details:
- Immediate start preferred (no two-week notice strongly preferred).
