Job Overview
Calvary Episcopal Church is seeking a compassionate, organized and detail-oriented Churchyard Administrator to oversee the operation, sales and care of our historic cemetery. This role serves as a vital bridge between the parish, grieving families, funeral homes and external vendors. The ideal candidate will balance strong administrative skills with a pastoral, empathetic presence, ensuring that our sacred grounds remain a place of peace, dignity and solace for the community.
KEY RESPONSIBILITIES
Sales and Administration
* Serve as the primary point of contact for the sale of cemetery plots and columbarium niches and interment payments.
* Guide families through the selection process, providing clear information on pricing, regulations and availability.
* Maintain meticulous, up-to-date records of cemetery maps, plot ownership, deeds and burial logs (both physical and digital) and reconcile as needed. Communicate all burial information to our Find a Grave volunteer.
Coordination and Scheduling
* Schedule all burials, committal services and funerals in coordination with parish clergy and staff.
* Act as the main liaison between the parish and funeral homes, families, vault companies and monument companies.
* Ensure all logistical needs for a service are communicated clearly to all involved parties in a timely manner.
Grounds Operation Oversight
* Oversee the opening and closing of graves, ensuring vendors adhere to cemetery guidelines and respect the sacred nature of the grounds.
* Supervise and approve the placement of all monuments, headstones and markers, ensuring compliance with cemetery dimensions and aesthetic standards.
* Conduct regular walk-through inspections of the cemetery to identify maintenance needs and coordinate with the groundskeeping team.
Qualifications and Skills
* Soft skills: High level of empathy, tact and professionalism. Ability to comfort and guide families experiencing grief and loss.
* Organizational skills: Exceptional attention to detail and record-keeping accuracy.
* Communication skills:Clear, tactful and prompt verbal and written communication skills needed.
* Technical Proficiency: Comfortable using basic office software (Microsoft Office/Google Suite) for email and scheduling. Ability to learn church-specific database software and various maps.
* Physical Requirements: Ability to walk the historic, sometimes uneven cemetery grounds in various weather conditions to mark plots or meet with vendors.
