Duties
- Oversee daily office operations, including front desk management, multi-line phone systems, filing, and clerical tasks to maintain a professional and welcoming environment
- Manage calendars, schedule appointments, coordinate meetings, and organize events to optimize executive and team productivity
- Supervise administrative staff and coordinate training & development initiatives to foster a high-performing team atmosphere
- Handle vendor management by sourcing supplies, negotiating contracts, and maintaining positive relationships with service providers
- Assist with human resources functions such as onboarding new employees, maintaining personnel records, and supporting payroll processing using QuickBooks or similar accounting software
- Support medical or specialized office management tasks as needed, including patient or client scheduling and record keeping
- Manage budgeting and bookkeeping activities to ensure financial accuracy and accountability
- Coordinate travel arrangements, prepare itineraries, and handle expense reports for executives and staff
- Maintain confidentiality of sensitive information while demonstrating excellent phone etiquette and communication skills
Requirements
- Proven experience in office management, administrative support, or clerical roles within a professional environment
- Supervising experience with the ability to lead teams effectively
- Strong organizational skills with keen attention to detail in scheduling, filing, and record keeping
- Proficiency in QuickBooks or comparable financial software for bookkeeping and payroll tasks
- Experience with event planning and vendor management to coordinate meetings, conferences, or company events
- Knowledge of human resources procedures including onboarding, training & development programs
- Familiarity with medical office management or specialized office environments is a plus
- Excellent communication skills—both verbal and written—with professional phone etiquette
- Ability to multitask efficiently while managing calendar schedules and handling multiple priorities simultaneously
- Demonstrated ability to manage budgets effectively and perform basic bookkeeping tasks
