An established real estate company is seeking an experienced, highly organized Operations Manager to take ownership of the day-to-day management and execution of a growing organization.
This is a hands-on leadership role with direct responsibility for managing employees, supporting department leaders, overseeing office operations, and helping hold real estate agents accountable to company expectations, systems, programs, and responsibilities.
The Operations Manager will work closely with company leadership, but the goal of this position is not to require leadership involvement in every daily decision. We need someone who can take direction, understand the bigger picture, independently manage people and priorities, solve problems, and make sure things actually get done.
This position will serve as a central point of operational leadership across the company. The Operations Manager will oversee employees and workflows, coordinate across departments, monitor deadlines and performance, manage projects and vendors, and ensure commitments do not disappear after a meeting or conversation.
On the real estate side, this role will work alongside the Managing Broker. The Managing Broker is responsible for brokerage guidance, contracts, compliance, and agent training. The Operations Manager will focus on the operational side of agent accountability, including company systems, required activities, lead and program expectations, meetings, administrative requirements, communication, deadlines, and follow-through.
This is not an administrative assistant position. We are looking for someone who can lead people, manage performance, enforce expectations, make decisions, and take meaningful operational responsibility off company leadership.
Responsibilities
- Directly supervise and manage company employees, including day-to-day performance, priorities, workload, attendance, communication, accountability, and follow-through.
- Provide employees with clear expectations, direction, deadlines, and feedback, and address performance or accountability issues when expectations are not being met.
- Support department managers while maintaining visibility into what is happening across departments and ensuring company priorities are being executed.
- Help hold real estate agents accountable to company operational expectations, including required systems, lead programs, meetings, training requirements, administrative responsibilities, deadlines, communication, and company policies.
- Work closely with the Managing Broker when an agent matter involves contracts, licensing, brokerage compliance, transaction guidance, or real estate training.
- Serve as a primary point of contact for routine operational and personnel matters so company leadership does not need to personally manage every issue.
- Oversee daily business and office operations and ensure departments, employees, and systems are functioning efficiently.
- Translate leadership decisions and company goals into clear assignments, deadlines, processes, and measurable follow-through.
- Develop, document, implement, and continually improve company processes, workflows, procedures, and accountability systems.
- Hold employees and team members accountable for deadlines, responsibilities, company standards, and commitments.
- Follow up after meetings and assignments to ensure decisions are implemented and projects are completed.
- Identify operational problems, inefficiencies, bottlenecks, and gaps before they become larger issues and develop practical solutions.
- Coordinate projects across departments and maintain ownership from planning through completion.
- Manage employee onboarding, training coordination, development, performance expectations, and implementation of company policies.
- Improve communication and accountability between departments and prevent responsibilities from falling between teams.
- Monitor operational reports, deadlines, performance indicators, company systems, and outstanding action items.
- Oversee vendor relationships, contracts, services, and operational expenses.
- Assist with budgeting, accounting oversight, reporting, and financial workflows.
- Work confidently with spreadsheets, reports, data, and business systems to identify issues and track performance.
- Coordinate company meetings, trainings, events, and special projects.
- Maintain confidentiality regarding company, employee, agent, client, and financial information.
- Help ensure company procedures align with applicable real estate requirements and company policies, escalating brokerage or legal questions to the appropriate professional.
- Step in when operational or personnel issues arise, determine what needs to happen next, and drive the issue toward resolution.
- Help company leadership continue building an organization that can grow without requiring the owners to personally manage every employee, agent issue, project, or operational decision.
What We're Looking For
- Significant operations management, business management, office leadership, or comparable management experience.
- Demonstrated experience directly supervising employees and managing performance and accountability.
- Real estate brokerage, real estate team, or real estate office leadership experience strongly preferred.
- Experience managing multiple departments, teams, projects, or competing priorities.
- Confidence addressing missed deadlines, poor follow-through, performance issues, and difficult conversations rather than avoiding them.
- Strong leadership skills with the ability to establish expectations and hold people accountable while maintaining a positive and professional work environment.
- Exceptional organization and follow-through. If something is assigned, this person knows where it stands until it is complete.
- Ability to make sound day-to-day decisions independently and recognize when an issue should be escalated to company leadership or the Managing Broker.
- Strong written and verbal communication skills.
- Ability to prioritize in a fast-paced environment where circumstances and priorities can change quickly.
- Experience developing, documenting, and improving processes and procedures.
- Strong technology skills and the ability to learn new systems quickly.
- Experience with QuickBooks, accounting workflows, budgeting, or financial reporting strongly preferred.
- Proficiency with Microsoft Office, Excel, Google Workspace, and business management software.
- Real estate, property management, or related industry experience strongly preferred.
- Virginia real estate license is a plus but is not required.
Who Will Be Successful Here
The right person will be comfortable being responsible for both people and outcomes.
We are not looking for someone who waits for company leadership to notice a problem, decide what should happen, assign every step, and then follow up repeatedly to make sure it was completed. We need someone who sees what needs attention, communicates expectations, assigns responsibility, follows up, addresses problems, and sees the issue through to completion.
This person must also be comfortable with accountability. There will be times when an employee needs clearer direction, a manager needs follow-up, or an agent needs to be reminded that participating in company programs comes with responsibilities. The Operations Manager should be able to handle those conversations professionally and consistently.
Our environment is highly collaborative, but collaboration does not mean a lack of ownership. Employees, managers, and agents should know what is expected of them, who is responsible, and when something needs to be completed.
A successful Operations Manager will create more structure, stronger accountability, and greater independence throughout the organization, allowing company leadership to focus more of its time on growth, strategy, and the future of the business.

Pay: $25.00 - $30.00 per hour
