Position Summary
The House Manager is responsible for overseeing the daily operations of the home, ensuring compliance with medication management procedures, resident care standards, staff accountability, and administrative requirements. The House Manager works closely with the Administrator to maintain a safe, organized, and resident-centered environment.
A sample of your day:
- Review emails, community messages/communications
- Check residents’ calendars and appointments
- Coordinate daily staffing/activities based on resident schedules and needs
- Review the night-shift audit report
- (e.g. MARs, signatures, PRN effectiveness, new medication entries)
- Read and print resident progress notes
- Check and document refrigerator temperatures
- Verify the daily cleaning schedule is complete
- Assist with resident behavior needs using person-centered practices
- Assist with direct support as needed (meals, ADLs, transportation)
- Monitor staff follow-through and provide real-time coaching when necessary
- Schedule or adjust resident group activities according to the monthly calendar
- Review menus and ensure staff are following approved meal plans
- Address issues or concerns and escalate to the Administrator when needed
- Provide transportation to residents to appointments as needed
- Assist residents with external support structures via phone, tele-health etc.
Performs audits / reviews :
- Medication Administration Records (MARs) are complete and contain all required signatures, including medication refusals.
- Packaged medications are documented appropriately.
- PRN (as-needed medication) effectiveness results are documented.
New medication prescriptions have been entered correctly into the MAR by verifying:
- Medication name
- Prescribing physician/PCP
- Dosage and strength
- Route of administration
- Frequency
- Reason for administration
- Medication parameters and instructions
- Medication documented properly
Resident and House Operations:
The House Manager is responsible for:
- Reading and printing resident progress notes daily.
- Reviewing and documenting refrigerator temperatures.
- Reviewing the daily cleaning schedule for completion.
- Monitoring staff compliance with assigned responsibilities.
- Reporting repeated documentation or compliance concerns to the Administrator for follow-up and coaching.
- Scheduling and coordinating resident group activities according to the monthly activity calendar.
- Reviewing resident menus and ensuring staff follow approved meal plans.
- Setting tone and influencing overall staff mood of the home.
Medication Management Responsibilities
The House Manager conducts weekly audits of:
- Resident Medication Administration Records (MARs).
- Over-the-counter medications (with orders)
- Mediation Audits
- Are labeled with the resident's name.
- Include physician instructions for administration.
- Have an opened date documented when required.
- Are stored appropriately.
- PRN Medication Oversight
- Medication Administration Records (MARs)
- Reconcile physician orders with current MARs before ...
- ... preparing the next month's MARs.
- Create new MARs by the 28th of each month.
- Print completed MARs no later than the 30th or 31st of the month.
- Distribute printed MARs to swing shift staff before the new month begins.
The House Manager also ensures:
- PRN medications are not expired.
- Expired or discontinued medications are returned to the pharmacy or properly destroyed according to policy.
- Reorders are requested when necessary.
- Controlled Substance Management
- The House Manager reviews narcotic inventories and ensures medications are reordered before supplies become depleted.
Staffing Support
- The House Manager must maintain flexibility in scheduling and provide operational support when necessary, including:
- Assisting during staffing emergencies.
- Providing coverage when staff call out and replacement coverage cannot be secured.
- Supporting the Administrator in maintaining adequate staffing levels and continuity of care.
Reporting Structure
The House Manager reports directly to the Administrator and works collaboratively with all staff members to ensure quality resident care, regulatory compliance, and efficient household operations.
Other Regular Activities
- Post the resident activity calendar by the first day of each month.
- Menu Management
- Update and place the monthly menu in the menu binder by the first day of each month.
- Resident Documentation
- Shopping (resident and household)
- Reconciling receipts with processes
- Obtain updated resident face sheets from the Administrator as needed.
- Staff Communication
- Post reminders regarding monthly staff meetings in the team communication platform.
- Prepare meeting agendas and identify important topics for discussion.
- Ensure timely and accurate incident reporting (including medication errors, falls, behavioral events, injuries).
- Know and support emergency procedures (medical, fire, elopement, etc.).
- Maintain a safe physical environment and report maintenance/safety concerns
Qualifications
- Knowledge of medication administration procedures and MAR documentation.
- Strong organizational and time management skills.
- Ability to audit records accurately and maintain compliance.
- Effective communication and leadership skills.
- Ability to work independently and make sound decisions.
- Flexibility to assist with staffing needs and emergency situations.
- Model professional communication and de-escalation.
- Previous experience in residential, IDD, or behavioral health settings preferred.
- Customer Service experience strongly preferred.
- Previous experience in residential, IDD, or behavioral health settings preferred.
- Demonstrated competency in medication administration and MAR documentation.
- Ability to remain calm and decisive during staffing or resident crises.
- Reliable transportation and flexibility for occasional coverage outside regular hours.
Pay: $23.00 - $26.00 per hour
Experience:
- Caregiving: 2 years (Preferred)
License/Certification:
- CPR Certification (we can direct you where to obtain) (Required)
- Food Handler Certification (we can direct where to obtain) (Preferred)
