We are seeking a warm, organized, and proactive Administrative Associate to help support the daily operations of our growing practice. This role is ideal for someone who enjoys creating order behind the scenes while providing exceptional support to families, clinicians, and community partners. What You'll Do:
Family & Client Support
- Serve as the first point of contact for families, clients, and community partners by phone, email, and in person.
- Provide friendly, professional, and compassionate customer service.
- Assist families with scheduling, intake processes, and general inquiries.
- Help ensure a welcoming and supportive experience for every family we serve.
Administrative Operations
- Manage multi-line phone systems and direct communications efficiently.
- Coordinate calendars, appointments, meetings, and clinician schedules.
- Maintain accurate client records, filing systems, and documentation.
- Support office organization, inventory management, and administrative work overflow.
- Assist with report preparation, document proofreading, and data management.
Office Support
- Monitor office supplies and coordinate purchasing needs.
- Help maintain a professional, organized, and efficient work environment.
Team Collaboration
- Work closely with leadership and clinical staff to support day-to-day operations.
- Assist with onboarding, training coordination, and special projects.
- Contribute to a positive workplace culture centered around teamwork, respect, and continuous growth.
Qualifications
- Previous administrative, office management, or customer service experience preferred.
- Strong organizational skills with exceptional attention to detail.
- Experience with Microsoft Office Suite and Google Workspace.
- Experience using Ai in the workplace.
- Excellent written and verbal communication skills.
- Ability to manage multiple priorities and maintain confidentiality.
- Bilingual candidates are strongly encouraged to apply.
- Experience in healthcare, early intervention, education, or therapy settings is a plus.
- Bachelor's Degree in HR or Human services related field preferred.

Pay: $26.00 - $34.00 per hour
