Overview
We're looking for an organized and customer-focused Office Administrator to support our office operations and Customer Service team. In this role, you'll serve as a key point of contact for incoming communications and play an important part in keeping day-to-day operations running smoothly.
Responsibilities include answering and directing incoming calls, faxes, and emails; processing orders and quote requests; and preparing and coordinating shipping documents for customer orders. You'll also handle credit card payments for goods and services, along with the electronic filing of related records, and help monitor the company website as needed.
Duties
- Greet customers and ensure proper sign-in procedures are followed
- Answer and direct incoming calls, faxes, and emails
- Monitor and maintain the Customer Service inbox in a timely manner
- Review and enter customer orders into the Order Entry Database
- Update order details in the intradepartmental Order Status workbook
- Complete records for customer inquiries, complaints, and returns
- Review and update customer accounts in the database as needed
- Monitor company website and respond to inquiries
- Receive and process credit card payments
- Create and distribute invoices for goods and services provided
- Prepare and review shipping paperwork, including electronic files for order ship dates
- Serve as backup Shipping Coordinator; provide shipping quotes and carrier information as needed
- Pick up and deliver mail at the Post Office; deliver deposits to the bank
- Maintain electronic filing for customer service, shipping, and receivables records
- Monitor inventory and report deficiencies to the Customer Service Manager
- Maintain a clean and safe working environment
- Ensure customer satisfaction through quick, accurate responses to orders and inquiries
Skills
- Knowledge of customer service principles and best practices
- Proficient in administrative and clerical procedures, including hardcopy and electronic file/records management
- Proficient in Microsoft Office products (Word, Excel, Outlook)
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Basic math skills, including basic operations and algebra
- Ability to follow procedures and guidelines while taking direction from a manager
- Ability to multitask and switch between priorities efficiently
- Ability to adapt quickly to changing procedures or priorities
- Strong team-player mentality with the ability to build and maintain positive working relationships
- Ability to follow procedures and guidelines and take assignments from a manager
Requirements
- High School Diploma or GED
- Associate or bachelor’s degree in business field and/or minimum 2 years of administrative/office work

Pay: $20.00 - $24.00 per hour
