Job Description:
We are a small, family-owned commercial real estate development and property management company seeking a dependable and organized Commercial Real Estate Assistant to join our team.
This is an entry-level position that will provide support across several areas of our business, including bookkeeping, property management, and general administrative responsibilities. The ideal candidate is organized, comfortable working with numbers, communicates professionally, and is willing to learn.
Prior commercial real estate or property management experience is not required. Customer service experience is preferred. We are looking for someone who is dependable, detail-oriented, and interested in learning how a commercial real estate company operates.
Because we are a small company, this position offers the opportunity to gain hands-on experience in multiple areas of the business and take on additional responsibilities as you grow in the role.
Responsibilities:
Bookkeeping & Accounting Support
- Enter bills, invoices, payments, and other financial transactions into accounting and property management software.
- Assist with accounts payable and accounts receivable.
- Maintain organized financial records, invoices, receipts, and supporting documentation.
- Assist with bank and credit card reconciliations.
- Help track tenant rent payments and outstanding balances.
- Prepare and maintain spreadsheets and basic financial reports.
- Assist with vendor records, W-9s, certificates of insurance, and other documentation.
- Provide general bookkeeping and accounting support as needed.
Property Management Support
- Assist with day-to-day operations of commercial properties.
- Communicate professionally with tenants, vendors, contractors, and service providers.
- Receive and help coordinate tenant maintenance requests.
- Schedule vendors and contractors for property repairs, maintenance, and inspections.
- Follow up on open maintenance items and help ensure work is completed.
- Maintain organized tenant, lease, vendor, and property records.
- Assist with tracking lease dates, renewals, insurance certificates, inspections, and other important deadlines.
- Help prepare tenant correspondence, notices, and other property-related documents.
- Assist with property inspections and other property management tasks as needed.
Administrative Support
- Answer and direct phone calls and emails.
- Organize electronic and physical files and maintain accurate company records.
- Enter information into spreadsheets, databases, and company software.
- Scan, copy, file, and organize documents.
- Prepare letters, reports, spreadsheets, and other business documents.
- Assist with scheduling appointments, meetings, inspections, and vendor visits.
- Help maintain office organization and supplies.
- Provide administrative support to management and other team members as needed.
Qualifications
- High school diploma or equivalent required.
- Customer service experience is preferred, but not required.
- Basic proficiency with Microsoft Excel, Word, and email.
- Strong organizational skills and attention to detail.
- Ability to communicate professionally with tenants, vendors, coworkers, and other business contacts.
- Ability to manage multiple tasks and follow through on assignments.
- Willingness to learn new software and business processes.
- Dependable, professional, and able to maintain confidential business information.

Pay: $17.00 - $25.00 per hour
