Construction Project Administrator / Coordinator
TM Construction Group is seeking a highly organized and proactive Construction Project Administrator / Coordinator to support our Controller and Project Management team.
This position plays a key role in project administration, client coordination, estimating support, and document management across multiple active construction projects.
Responsibilities
- Meet with prospective clients and perform site visits
- Gather project information and assist in preparing proposals and estimates
- Coordinate proposal submissions and client follow-up
- Prepare and track AIA pay applications (G702/G703)
- Manage subcontractor documentation, COIs, W-9s, contracts, and lien waivers
- Support accounts payable and accounts receivable processes
- Track change orders, billing status, and project compliance requirements
- Maintain organized project files and document control
- Coordinate with Project Managers, vendors, and subcontractors to ensure timely project administration
Qualifications
- 3–7 years of construction administration experience with a General Contractor or Subcontractor
- Experience with Procore, QuickBooks Online, and AIA Billing
- Strong organizational, communication, and follow-up skills
- Ability to manage multiple projects and deadlines simultaneously
- Professional, detail-oriented, and self-motivated
- Ability to interact confidently with clients and represent the company during site visits
Pay: $97,385.54 - $117,385.54 per year
