CONSTRUCTION ADMINISTRATIVE COORDINATOR
Harlen Construction Company is a growing General Contractor specializing in Commercial and Industrial construction throughout the Midwest. In addition to general contracting services, we self-perform structural steel erection and Pre-Engineered Metal Building (PEMB) installation. We are seeking motivated professionals who take pride in quality work, safety, and teamwork.
Position Summary
Harlen Construction Company is seeking a highly organized Construction Administrative Coordinator to support our growing operations team. This position plays a critical role in project administration, accounting support, contract administration, human resources, safety compliance, and day-to-day office operations.
The ideal candidate is professional, detail-oriented, self-motivated, and capable of supporting multiple projects and departments in a fast-paced construction environment.
Responsibilities
- Answer and direct incoming phone calls
- Assist with accounts payable, accounts receivable, invoicing, and collections
- Prepare invoices, pay applications, lien waivers, and project documentation
- Assist with subcontract agreements, purchase orders, and contract administration
- Track certificates of insurance, subcontractor compliance documents, and project records
- Support project accounting and job cost tracking
- Assist with employee onboarding, personnel files, and human resources administration
- Maintain safety records, training certifications, and compliance documentation
- Coordinate project closeout documentation
- Support Project Managers, Superintendents, and field personnel with administrative needs
- Schedule meetings and maintain calendars as needed
- Perform general office and administrative duties
Qualifications
- Previous construction office, project administration, accounting, bookkeeping, or office management experience preferred
- Experience with construction contracts, pay applications, lien waivers, and certificates of insurance preferred
- Experience with accounts payable, accounts receivable, invoicing, and basic construction accounting
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office (Word, Excel, Outlook)
- Experience with QuickBooks or similar accounting software preferred
- Ability to manage multiple tasks and priorities effectively
- Strong attention to detail and accuracy
- Professional attitude and customer service mindset
- Construction experience is preferred, but we are willing to train an exceptional candidate with strong administrative, organizational, and accounting skills
Compensation & Benefits
- $20.00–$25.00 per hour, depending on experience and qualifications
