Senior Manager of Facilities & Asset Management
Department: Development
Reports To: VP of Construction & Development
Location: Dallas/Fort Worth, TX (Hybrid)
Travel: Approximately 30-40%
Position Summary
We are eeking a highly organized, results-driven Facilities Manager to oversee the day-to-day maintenance and repair operations across our restaurant portfolio. This individual will be responsible for managing work orders, vendor relationships, preventive maintenance programs, facility budgets, asset management, and invoice processing while partnering closely with Operations to ensure every café is maintained to the highest standards.

This position plays a critical role in protecting our restaurants, supporting Operations, and delivering an outstanding guest experience.
Primary Responsibilities
Work Order Management
- Manage all repair and maintenance work orders from initiation through completion.
- Prioritize emergency repairs to minimize operational disruption.
- Monitor response times and vendor performance.
- Ensure work orders are properly documented and closed.
- Maintain visibility of open issues through reporting dashboards.
Vendor Management
- Develop and maintain strong relationships with national and regional service vendors.
- Source new vendors as needed.
- Negotiate pricing and service agreements.
- Evaluate vendor performance using KPIs.
- Ensure vendors meet insurance and compliance requirements.
Preventive Maintenance
- Manage preventive maintenance schedules for HVAC, refrigeration, kitchen equipment, plumbing, electrical systems, fire protection, grease traps, and other critical assets.
- Ensure PM compliance across all locations.
- Identify opportunities to reduce emergency repair expenses.
Financial Management
- Review and approve repair invoices.
- Track repair spending against café budgets.
- Assist in annual R&M budgeting.
- Identify cost-saving opportunities.
- Maintain accurate repair history and asset costs.
Asset Management
- Maintain asset database for all restaurant equipment.
- Track equipment age, warranty status, replacement history, and lifecycle.
- Assist with capital planning and replacement forecasting.
Operations Partnership
- Partner closely with Area Directors and General Managers.
- Participate in weekly Facilities Review meetings.
- Provide guidance on repair priorities.
- Hold vendors accountable for quality and response times.
- Support café openings, remodels, and closures.
Reporting & Analytics
Develop and maintain reporting related to:
- Open work orders
- Emergency repairs
- Vendor performance
- Preventive maintenance compliance
- Repair spending
- Equipment failures
- Capital planning
- Monthly KPIs
Qualifications
Required
- Bachelor's degree preferred (or equivalent experience)
- 5+ years managing facilities in a multi-unit restaurant or retail environment
- Experience managing third-party service vendors
- Strong understanding of HVAC, refrigeration, plumbing, electrical, kitchen equipment, and general building systems
- Excellent organizational and project management skills
- Strong Microsoft Excel skills with the ability to develop reports on the fly
- Experience with Facilities Management software (ResQ, ServiceChannel, Ecotrak, Corrigo, etc.)
- Ability to prioritize multiple projects simultaneously
- Excellent communication skills both up and down the organizational chart

Pay: $100,000.00 - $120,000.00 per year
