We are looking for a polished, organised and enthusiastic Front of House & Patient Coordinator to become the face of our Miami clinic. This is a varied role combining patient coordination, reception, scheduling, customer service and social media support.
Key Responsibilities
Front of House
- Welcome patients and provide a luxury five-star experience from arrival to departure.
- Manage daily reception duties and maintain a professional clinic environment.
- Build strong relationships with patients while delivering exceptional customer service.
- Ensure patient confidentiality and compliance with HIPAA regulations.
Appointment Coordination
- Book, reschedule and confirm appointments.
- Arrange consultations with our medical directors and aesthetic practitioners.
- Manage practitioner diaries to maximise clinic efficiency.
- Follow up on enquiries and convert leads into consultations and treatments.
- Send appointment reminders and aftercare communications.
Patient Communication
- Answer incoming phone calls, emails, text messages and social media enquiries.
- Respond promptly to patient questions regarding treatments, pricing and availability.
- Handle patient concerns professionally and escalate when required.
- Maintain accurate patient records within our booking software.
Payments & Administration
- Process payments, deposits and invoices.
- Reconcile daily transactions.
- Complete patient consent and registration paperwork.
- Assist with stock ordering and general clinic administration.
Social Media & Marketing
- Coordinate daily content with our nurses and medical directors.
- Capture high-quality behind-the-scenes videos and photographs.
- Film treatment demonstrations, educational content and patient journeys.
- Assist with Instagram Stories, Reels and TikTok content.
- Coordinate patient testimonials and before-and-after photography.
- Support marketing campaigns, promotions and special events.
- Help maintain a consistent luxury brand image across all social media platforms.
What We’re Looking For
- Previous experience in a medical spa, cosmetic clinic, luxury beauty clinic or high-end hospitality environment preferred.
- Outstanding customer service and communication skills.
- Confident answering high volumes of telephone calls.
- Excellent organisational and multitasking abilities.
- Comfortable using booking and scheduling software (Zenoti experience is highly desirable).
- Strong written and verbal English.
- Confident creating social media content using an iPhone.
- Professional appearance and positive attitude.
- Ability to work in a fast-paced environment while maintaining attention to detail.
- Sales experience and consultation booking experience are advantageous.
Requirements
- Minimum 2 years’ experience in reception, patient coordination or customer service.
- Experience within aesthetics, beauty, medical or luxury hospitality preferred.
- Basic understanding of Instagram, Facebook and TikTok.
- Ability to work both independently and as part of a team.
- Flexible to work occasional evenings and Saturdays.
