About the Role
We are seeking a reliable, organized, and proactive Office Administrator to join our team. In this role, you will be the backbone of our daily office operations—serving as the first point of contact for our concrete and aggregate customers, handling invoicing and accounts receivable, and keeping our driver and fleet compliance up to date.

Key ResponsibilitiesCustomer Service & Scheduling
- Answer incoming phone calls from concrete and aggregate customers in a professional, friendly manner.
- Assist customers with dispatch/delivery scheduling, order inquiries, and general updates.
Accounting & Financial Administration
- Manage Accounts Receivable (A/R) processes.
- Generate and distribute accurate invoices to customers in a timely manner.
- Collect and process cash, check, and credit card payments.
- Maintain organized financial records and assist with basic daily reconciliation.
Driver & Fleet Compliance Tracking
- Manage base/facility access applications (e.g., PMRF access applications, background checks, NDAs).
- Track and ensure timely renewals for truck registrations, safety inspections, and required certifications.
- Maintain updated, audit-ready compliance logs for all fleet vehicles and drivers.
General Office Operations
- Maintain physical and digital filing systems.
- Manage general office supplies and perform administrative tasks as assigned by management.
Qualifications & Skills
- Experience: 2+ years of administrative, dispatch, or office management experience (experience in construction, trucking, or aggregate/concrete industries is a strong plus).
- Financial Skills: Hands-on experience with invoicing, accounts receivable, and processing cash/credit card payments.
- Tech Savvy: Proficient in Microsoft Office (Excel, Word, Outlook) and comfortable learning industry-specific software.
- Communication: Outstanding phone etiquette and customer service skills.
- Organization: Strong multi-tasking skills with high attention to detail and accurate record-keeping.
