Position Summary
Utility Partners of America (UPA) is seeking a highly organized, analytical, and results-driven Project Support Supervisor to lead the Project Support team while supporting operational reporting, workforce coordination, data management, and departmental projects.
The Project Support Supervisor is responsible for overseeing daily team operations, ensuring the accuracy and timeliness of reporting, coordinating work assignments, and driving process improvements. This position serves as the primary resource for the Project Support team and is expected to maintain proficiency in all Project Support Specialist responsibilities while providing leadership, guidance, and accountability.
The ideal candidate is a strong leader who can effectively balance operational priorities, support business objectives, and develop team members in a fast-paced environment.
Essential Duties and Responsibilities
Leadership & Team Management
- Supervise, coach, mentor, and develop Project Support Specialists.
- Assign, prioritize, and monitor daily workloads to ensure operational needs are met.
- Provide training and ongoing support to team members.
- Conduct performance evaluations and provide regular performance feedback.
- Address employee performance concerns and participate in corrective action processes as needed.
- Assist with recruiting, interviewing, onboarding, and training new employees.
- Foster a positive, collaborative, and accountable work environment.
- Serve as the primary escalation point for operational and reporting issues.
Operations Support
- Oversee daily, evening, and weekend work distribution activities across operational teams.
- Ensure work assignments are distributed efficiently and completed within established timelines.
- Coordinate with Operations leadership to support staffing needs and workforce planning initiatives.
- Monitor team productivity and operational performance metrics.
- Support departmental and company-wide projects through planning, tracking, reporting, and execution.
Reporting & Data Management
- Ensure the accuracy, completeness, and integrity of operational data and reporting.
- Identify and resolve reporting discrepancies, data issues, and operational exceptions.
- Develop, maintain, and analyze reports, dashboards, and performance metrics.
- Utilize Microsoft Excel and internal systems to organize, manage, and analyze operational data.
- Provide leadership with actionable insights and recommendations based on data analysis.
Process Improvement
- Identify opportunities to improve operational efficiency and reporting accuracy.
- Develop and implement process improvements and best practices.
- Collaborate with cross-functional departments to streamline workflows and enhance communication.
- Support continuous improvement initiatives and operational excellence efforts.
Functional Expertise
- Maintain a thorough understanding of all Project Support Specialist responsibilities.
- Perform Project Support Specialist duties as needed to support business operations.
- Serve as a subject matter expert and resource for team members and leadership.
Qualifications
- Associate's degree or Bachelor's degree preferred; equivalent work experience may be considered.
- Minimum of 3 years of experience in operations support, project coordination, workforce management, reporting, or a related field.
- Must consent to a drug test, background check and motor vehicle records check
- Previous leadership, supervisory, or team lead experience preferred.
- Advanced Microsoft Excel skills required, including:
- XLOOKUP/VLOOKUP
- PivotTables
- SUMIFS and COUNTIFS
- Data validation and reporting functions
- Data analysis and trend reporting
- Strong analytical and problem-solving skills.
- Excellent organizational and time-management abilities.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Outlook and Microsoft Office applications.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Demonstrated ability to lead teams, drive accountability, and improve processes.
Preferred Qualifications
- Experience supporting utility operations, field services, or workforce management functions.
- Experience with KPI reporting, operational analytics, and project tracking.
- Experience leading process improvement initiatives.
