We are looking for a highly organized, dependable, and hands-on Operations Manager to help oversee our day-to-day operations and ensure that patients, providers, phlebotomists, and partners have a seamless experience.
Position Overview
The Operations Manager will be responsible for supporting and coordinating the company's daily operations, with a strong focus on appointment scheduling, patient coordination, staff coordination, operational efficiency, and customer service.
This is a hands-on role for someone who can manage multiple priorities, solve problems quickly, communicate effectively, and take ownership of operational issues from beginning to resolution.
The ideal candidate is someone who does not wait to be told what needs to be done and is comfortable working in a fast-paced healthcare environment.
Key Responsibilities
Scheduling & Patient Coordination
- Manage and coordinate daily patient appointments and schedules
- Schedule mobile blood draws and other healthcare services
- Confirm appointments and communicate with patients regarding scheduling
- Coordinate appointment changes, cancellations, rescheduling, and urgent requests
- Ensure accurate patient and appointment information
- Monitor daily schedules to identify gaps, conflicts, or operational issues
- Coordinate with phlebotomists and field staff to ensure appointments are completed on time
Daily Operations
- Support the overall day-to-day operations of Filos Health
- Monitor daily workflows and ensure operational tasks are completed accurately and on time
- Coordinate between patients, healthcare providers, phlebotomists, laboratories, and internal teams
- Troubleshoot operational issues and escalate problems when necessary
- Help maintain smooth communication between departments
- Monitor outstanding tasks and ensure appropriate follow-up
- Assist leadership with operational projects and process improvements
- Help develop and maintain operational procedures and checklists
- Identify inefficiencies and recommend ways to improve workflow and productivity
Team Coordination
- Coordinate schedules and assignments for field staff and contractors
- Communicate daily expectations and operational updates
- Monitor punctuality, appointment completion, and service quality
- Follow up on missed, delayed, or incomplete appointments
- Help ensure team members follow company procedures and standards
- Support onboarding and training of new operational staff as needed
Customer & Partner Support
- Serve as a point of contact for patients and healthcare partners regarding operational matters
- Respond to scheduling and service-related questions
- Resolve routine customer issues professionally and efficiently
- Maintain strong communication with clinics, providers, and organizational partners
- Ensure a high-quality patient experience throughout the scheduling and service process
Administrative & Reporting
- Maintain accurate operational records
- Track appointment volume, completion rates, cancellations, and other operational metrics
- Assist with weekly and monthly operational reporting
- Monitor outstanding payments, documentation, or operational requirements when applicable
- Assist leadership with special projects, data collection, and business operations
Qualifications
- Bachelor's degree preferred, but relevant experience may be considered
- 1–3+ years of experience in operations, healthcare administration, scheduling, customer service, or a related field
- Strong organizational and time-management skills
- Excellent written and verbal communication
- Comfortable managing multiple priorities simultaneously
- Strong attention to detail
- Ability to work independently and take initiative
- Strong problem-solving skills
- Comfortable working in a fast-paced startup environment
- Proficiency with Google Workspace, Microsoft Office, scheduling platforms, and CRM/operations software
- Healthcare, laboratory, medical office, or mobile healthcare experience is a strong plus

Compensation
Base Salary: $30,000–$32,000 annually
In addition to the base salary, the position includes a performance-based bonus structure, with the opportunity to earn up to approximately $55,000 in total annual compensation based on individual and operational performance.
Also, 40 hours of Paid Time Off, and an additional 10 paid official holidays
Bonus opportunities may be tied to measurable operational goals such as scheduling performance, appointment completion, customer satisfaction, operational efficiency, and overall team performance.
Work Schedule
Monday–Friday
8:00 AM–5:00 PM
This is a full-time position with regular weekday business hours.
