THE ROLE
Every luxury home we build starts with permits. And permits start with you.
This role exists to do one thing above all else: get every project through the permitting process and to groundbreak without delays, rejections that weren't anticipated, or communication breakdowns with the county or city.
You will own the full permitting lifecycle for every active project — Collier County and the City of Naples — from initial submittal to permit in hand. You know the portals, the reviewers, the common rejection reasons, and how to move things forward when they stall.
Everything else this role owns — estimating, purchasing, POs, selections, subcontractor compliance, vendor coordination — can be learned on the job if you are organized, detail-oriented, and hungry. The permitting knowledge is the one thing we cannot train. You either have it or you don't.

WHAT YOU'LL OWN
PRIMARY — Permitting (This is your core function):
- All permit submittals for new construction and renovation projects — Collier County and City of Naples
- Tracking every active permit across every job — status, submission date, expected approval, rejection notes, follow-up dates
- Responding to permit rejections — coordinating with engineers, architects, and surveyors to resolve and resubmit quickly
- Proactively calling the county and city to get status updates — you do not wait for the portal to update
- Managing all permit-related documents, plans, and correspondence in Google Drive and Buildertrend
- Coordinating with the PM on permit milestones so the field is never caught off guard
- Your primary mission: get every project to groundbreak on time
SECONDARY — Trainable for the Right Candidate:
- Estimating — building cost estimates using our templated system by cost code, sqft under air, sqft under roof, and linear foot. We will train you on our process.
- Bid solicitation — sending plans to subs and suppliers, collecting bids, and building comparison sheets for ownership and PM to award
- Purchasing & POs — ordering materials and creating purchase orders in Buildertrend before anything is ordered. We will train you on our system.
- Customer selections — requesting, tracking, and following up until every selection is locked in
- Subcontractor compliance — collecting signed agreements, licenses, insurance certificates (Kingdom Builders AND customer additionally insured), and workers comp before any sub starts work
- Insurance reminder tracking — sending renewal reminders 30 days before expiration
- Invoice review — verifying vendor invoices against POs before they hit billing
- Job file organization — keeping Buildertrend and Google Drive clean and current across all active projects
WHAT WE'RE LOOKING FOR
Non-Negotiable:
- Direct, hands-on permitting experience with Collier County and the City of Naples — you have submitted applications, tracked status, responded to rejections, coordinated resubmittals, and pulled permits. Both jurisdictions.
- Strong administrative skills — you are organized, systems-minded, and nothing slips past you
- Experience in the construction industry — you understand how a build works from start to finish
Strongly Preferred:
- Proficient in Buildertrend — or strong experience in a similar platform (Procore, CoConstruct) with the ability to learn Buildertrend quickly
- Proficient in Google Workspace — Drive, Docs, Sheets, and Gmail
- Strong written and oral communication — clear, direct, and proactive
- Experience with purchasing, POs, or vendor coordination in a construction environment
- Estimating experience — even basic familiarity with cost codes and unit costs

BONUS POINTS
- Experience with luxury custom home builders in Southwest Florida
- Familiarity with CityView (Collier County portal) and City of Naples permitting portal
- Familiarity with luxury product specs — PGT WinGuard, Andersen A-Series, Trane, Navien, Generac
- Bilingual (English/Spanish) a plus
