Role Overview
The Office Administrator is the first point of contact for clients of The Counting House. This role is responsible for creating a professional, welcoming experience for every client while ensuring smooth front-office operations. The ideal candidate is organized, personable, detail-oriented, and comfortable handling multiple priorities in a fast-paced professional services environment.
This role is critical to client perception, internal workflow, and overall office efficiency.
Key Responsibilities
Client Experience & Front Desk
- Greet clients in person and by phone with professionalism and warmth
- Manage incoming calls, voicemails, and general inquiries
- Schedule, confirm, and manage client appointments
- Ensure the reception area is clean, organized, and client-ready at all times
Administrative & Office Support
- Handle incoming and outgoing mail, document intake, and scanning
- Assist with client onboarding paperwork and document tracking
- Maintain organized digital and physical filing systems
- Support accountants and leadership with administrative tasks as needed
Client Communication & Follow-Ups
- Send appointment reminders and basic client communications
- Route client questions to the appropriate team member
- Maintain confidentiality and professionalism with sensitive financial information
Process & Systems Support
- Follow established office workflows and procedures
- Help keep client records accurate and up to date
