Position: Track and Trace Coordinator

General Position Overview:
The primary responsibility of this role is to obtain, verify, and manage all shipment documentation required for billing, including Proofs of Delivery (PODs), lumper receipts, and other supporting paperwork, ensuring timely and accurate invoice processing This role acts as a crucial communication hub between carriers, drivers, customers, and internal logistics teams, providing real-time updates and ensuring seamless supply chain operations, while exemplifying our MIDWEST Values.

General Accountabilities include:

Monitor real-time location and status of all shipments using tracking software and other tools.

Identify potential delays, issues, or discrepancies and resolve them quickly and efficiently.

Serve as a central point of contact, providing timely and accurate updates on shipment updates to customers, carriers, and internal departments like Customer Service, Load Planning and Truck Drivers.

Accurately update shipment information in TMS and maintain detailed records of dispatched calls, driver logs, and delivery times.

Generate and review daily and weekly tracking reports and identify trends or areas for improvement.

Collaborate with other logistics teams, including Load Planners and Dispatchers, to coordinate daily operations and support functions.

Schedule and reschedule appointments as needed.

Maintain customer portals and internal systems with accurate shipment details, status, and any changes.

Skills Required:

Takes responsibility for completing tasks accurately and on time

Clear communication skills, both written and verbal, with customers, peers and leadership

Proficiency with technical systems and ability to adapt to new tools
Prerequisites:
-
1-2 years of transportation or logistics industry experience.

Proficiency with transportation management systems (TMS) and other tracking and scheduling software.

Proficiency in typing and navigating common business systems (Email, Microsoft tools, TMS)

Ability to quickly learn new processes and problem-solve in a fast-paced environment

Demonstrate positivity and willingness to contribute to team success

Experience with scheduling appointments.
Performance Measurements:

Timely and accurate coordination of appointment scheduling and adjustments.

Timely and accuracy of shipment status updates in TMS and customer portals.

Updating customer portals per customer required timelines
