Duties
- Coordinate all aspects of trade shows, exhibits, and corporate events from inception to completion, including venue selection, logistics, and setup.
- Collaborate with marketing teams to develop compelling event marketing strategies that attract target audiences and maximize engagement.
- Manage event budgets meticulously, ensuring cost-effective solutions while maintaining high-quality standards.
- Negotiate contracts with vendors, venues, caterers, and service providers to secure favorable terms and build strong professional relationships.
- Oversee event planning details such as catering arrangements, guest services, technical requirements, and hospitality needs like banquet or hotel accommodations.
- Implement upselling techniques during events to promote additional products or services that benefit both the company and clients.
- Ensure excellent customer service by addressing attendee inquiries promptly and providing seamless guest experiences.
- Maintain detailed timelines, checklists, and documentation to ensure all tasks are completed on schedule using effective time management skills.
- Conduct post-event evaluations to gather feedback for continuous improvement in future initiatives.
Requirements
- Proven experience in event management, trade shows, or hospitality environments such as restaurants or hotels.
- Strong negotiation skills with the ability to secure advantageous contracts and partnerships.
- Knowledge of marketing principles with a focus on event marketing strategies.
- Experience managing event budgets and controlling costs without compromising quality.
- Excellent organizational skills with the ability to handle multiple projects simultaneously under tight deadlines.
- Exceptional communication skills for liaising with vendors, clients, team members, and stakeholders.
- Technical proficiency in event management software, Microsoft Office Suite or similar tools for planning and reporting purposes.
- Background in banquet operations or restaurant/hotel service is a plus; fundraising or guest services experience highly valued.
- Ability to adapt quickly to changing priorities while maintaining attention to detail in a fast-paced environment.
