Job Summary
The Real Estate & Construction Coordinator provides administrative and project coordination support for the Real Estate and Construction department throughout all phases of development projects. This role is responsible for coordinating project activities, maintaining project documentation, tracking schedules and budgets, and serving as a liaison between internal departments and external business partners to help ensure projects are completed efficiently and on schedule.
Duties & Responsibilities
- Coordinate administrative and project support activities for multiple real estate and construction projects.
- Schedule meetings, site visits, inspections, and project-related activities.
- Maintain project files, contracts, lease documentation, permits, and other project records.
- Coordinate with contractors, architects, engineers, vendors, landlords, and internal departments throughout the project lifecycle.
- Track project schedules, milestones, budgets, and action items, providing regular status updates to management.
- Process invoices, purchase orders, contractor payments, and other project-related financial documentation.
- Maintain and update project information within Smartsheet, including schedules, projected opening dates, and project status.
- Assist with obtaining permits, licenses, inspections, and regulatory approvals while ensuring compliance with company policies and applicable regulations.
- Conduct periodic site visits and travel as needed to support project meetings, inspections, and construction activities.
- Perform special projects and other duties as assigned.
Job Requirements
- Associate's degree required; Bachelor's degree preferred.
- 2–4 years of administrative, project coordination, construction, real estate, or related experience preferred.
- Strong organizational, communication, and time management skills with excellent attention to detail.
- Proficiency in Microsoft Office Suite; experience with Smartsheet or similar project management software preferred.
- Ability to manage multiple priorities, work independently, and collaborate effectively with internal and external stakeholders.
- Ability to travel to project sites and attend meetings as needed.
Pay: $60,000.00 - $70,000.00 per year
