Duties
- Manage front desk operations, including greeting visitors, answering multi-line phone systems, and directing calls with excellent phone etiquette.
- Maintain organized filing systems both physically and digitally, utilizing spreadsheets and productivity software for data entry and record keeping.
- Oversee calendar management for team schedules, appointments, and meetings using tools like Google Workspace and Microsoft Office.
- Handle bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks accounting functions to support office financial processes.
- Provide exceptional customer support by responding promptly to client inquiries via phone or email, ensuring clear communication and professional service.
- Assist with office management duties including supply procurement, equipment maintenance, and facility organization to optimize workflow.
- Support specialized roles such as medical or dental receptionist duties when needed, including patient or client check-in procedures.
Qualifications
- Proven experience in office management or administrative roles with strong clerical skills.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, spreadsheets, and productivity software.
- Demonstrated computer literacy with technical proficiency in data entry, file management, and using office equipment such as multi-line phones.
- Excellent organizational skills with the ability to prioritize tasks efficiently and manage time effectively.
- Strong communication skills in both English and bilingual capabilities preferred; experience in customer service or client communication is highly valued.
- Familiarity with QuickBooks for bookkeeping tasks is a plus; previous experience as a personal assistant or medical/dental receptionist is advantageous.
- Ability to maintain professionalism with phone etiquette and client interaction while managing multiple responsibilities seamlessly.
