About the Role
We're looking for a detail-oriented Inventory & Purchasing Coordinator to help us stay on top of ordering, receiving, and inventory accuracy across our two retail locations and our Shopify store. This role starts part-time, with the opportunity to grow into a full-time position as it proves out.
You'll be responsible for making sure purchase orders get created, tracked, and — most importantly — closed out correctly once product arrives, so our inventory system and Shopify always reflect what we actually have in the store.
What You'll Do
- Purchasing: Create and track purchase orders across our vendors (fabric, notions, machines, and accessories), and follow up with vendors when orders are delayed or something doesn't look right.
- Receiving: Check in incoming inventory against purchase orders and mark it received in our system promptly — so nothing sits "incoming" once it's actually on the shelf.
- Inventory accuracy: Help keep our inventory system and Shopify store in sync, so stock levels are accurate for staff and customers alike.
- Cleanup: Work through our current backlog of open purchase orders to confirm what's actually been received and get our records caught up.
- Ongoing improvement: Flag patterns — slow vendors, recurring shortages, reorder issues — and help us build simple, repeatable habits around receiving.
What We're Looking For
- Some experience with inventory management, purchasing, or retail operations.
- Comfort working with Shopify, or a similar e-commerce/POS platform (we'll train on specifics).
- Comfortable in spreadsheets (Google Sheets/Excel).
- Organized and detail-oriented — someone who notices when something doesn't add up and follows through until it's resolved.
- Reliable and communicative — comfortable following up with vendors and staying on top of open tasks without a lot of hand-holding.
Nice to Have
- Familiarity with an inventory/purchase order system (e.g., Sumtracker or similar).
- Experience in specialty retail or a small business environment.
- Interest in sewing, quilting, or the craft industry.
Schedule & Growth
This role starts part-time, with flexibility around hours. As our inventory processes improve and the role proves its value, there's a real path to full-time.
