We run a fleet of ice cream trucks across the Bay Area and beyond. Every morning, trucks roll out of our depot carrying drivers, product, and the reputation of a brand people have loved for generations. Behind that operation is a small back-office team that makes sure the right truck goes to the right place with the right product and the right driver - and that when things go wrong (and they will), someone fixes it fast.
We are looking for an Operations Coordinator to own the front end of that operation. This is not a receptionist role. This is not a pure dispatch role. It is the person who sits at the intersection of customers, drivers, and execution - the first voice a stressed event client hears, the last person a driver talks to before rolling out, and the one who keeps the intake board organized enough that our ops manager can focus on strategy instead of putting out fires.
What you'll do:
- Front-End Intake & Customer Communication: Answer incoming calls, emails, and messages from event clients, customers, and partners. De-escalate urgent situations with warmth and professionalism. Manage the intake board so every request is logged, triaged, and routed correctly.
- Dispatch Coordination: Prepare trucks and drivers for daily routes. Verify product loads, route assignments, and special instructions. Brief drivers before shift. Handle last-minute route changes, driver callouts, and breakdowns without losing composure.
- Driver Support & Accountability: Serve as the primary point of contact for driver questions, concerns, and emergencies. Hold drivers accountable to standards and schedules. Escalate issues to the operations manager when needed - but handle what you can first.
- Event Coordination: Manage bookings, confirmations, certificates of insurance, deposits, and logistics for catered events. Communicate with event planners, venues, and corporate clients.
- Operations Planning: After dispatch, prep for the next day - confirm driver availability, truck assignments, product orders, and any special event requirements.
- Vendor & Supplier Communication: Coordinate with suppliers on deliveries, resolve shortages, and flag supply chain issues before they become truck problems.
What we're looking for:
- 2+ years in operations, dispatch, logistics, customer service, or a similar role where you had to balance people skills with execution.
- Exceptional communication skills - you can calm down a frantic bride and hold a stubborn driver accountable in the same hour.
- High attention to detail - you catch the missing COI before the venue does.
- Comfort in a fast-paced, physically active environment. Our depot is not a cubicle farm. There is diesel, noise, and real equipment.
- Proficiency with standard office software and dispatch/operations tools (we'll train you on ours).
- Ability to work weekends during peak season (May-September).
- A proactive mindset - you anticipate problems before they happen and fix them before anyone notices.
