Position Summary
The Contracting and Case Services Specialist is responsible for managing all administrative and operational functions that support advisor onboarding, contracting, case servicing, and proposal generation. This position ensures that all life and annuity business is processed accurately, efficiently, and in compliance with carrier and company standards.
The role acts as an internal liaison between advisors, carriers, and the Distribution Officer to maintain high service levels, streamline case processing, and support overall business flow within the IMO.
Key Responsibilities
1. Contracting and Advisor Onboarding
- Manage the end-to-end contracting process for new advisors, including document collection, data entry, and submission to carriers.
- Maintain up-to-date contracting records for all advisors and ensure compliance with licensing and appointment requirements.
- Serve as the point of contact for advisor onboarding and carrier setup inquiries.
2. Case Management and Servicing
- Handle service-related requests for life insurance and annuity cases, including status updates, policy changes, and post-issue support.
- Collaborate with carriers and advisors to resolve pending requirements or case issues in a timely manner.
- Maintain accurate documentation and status logs in CRM and internal systems.
- Communicate proactively with advisors on case progress and next steps.
3. Proposal Generation and Product Support
- Prepare and deliver life and annuity product proposals for advisors based on client data and suitability criteria.
- Support the Distribution Officer with product comparisons, illustrations, and case design documentation.
- Ensure accuracy and compliance of all proposal and illustration outputs before delivery.
4. Administrative Support and Reporting
- Maintain organized records of contracting, service requests, and case documentation.
- Provide weekly operational reports summarizing pending business, proposal activity, and contracting status.
- Assist in preparing materials and data summaries for the weekly Bloom meetings.
Qualifications
- Minimum of 2 years of experience in insurance operations, case management, or contracting.
- Knowledge of life and annuity products, carrier requirements, and compliance standards.
- Strong attention to detail and organizational skills.
- Proficiency in CRM systems, Microsoft Office Suite, and illustration software.
- Excellent communication and time management skills. Life license if possible.

Performance Review and Reporting
Performance will be evaluated quarterly based on KPI achievement, service turnaround times, and feedback from advisors, carriers, and internal team members. The role’s success is measured by operational efficiency, service quality, and the reduction of bottlenecks within the contracting and case management process.
Job Type: Full-time
Pay: $13.00 - $16.00 per hour
