Position Summary: The Accounting Assistant supports the daily financial operations of a commercial general contractor by processing accounts payable, assisting with subcontract administration, maintaining accurate job cost records, and supporting accounting functions. This role works closely with project managers, superintendents, subcontractors, and vendors to ensure accurate financial reporting and timely payments.
Principal Duties and Responsibilities: The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required or assigned.
- Process vendor and subcontractor invoices.
- Match invoices to purchase orders, subcontracts, and receiving documentation.
- Verify coding to the appropriate jobs and cost codes.
- Process weekly check runs and electronic payments.
- Maintain vendor records and W-9 documentation.
- Assist with subcontract setup and contract documentation.
- Assist with subcontract compliance.
- Process AIA standard subcontractor pay applications and change orders.
- Assist with budget revisions.
- Monitor retainage balances and payment status.
- Communicate with Operations team regarding missing documentation.
- Reconcile vendor statements.
- Assist with customer billing and invoicing
- Assist with month-end closing procedures.
- Prepare journal entries as assigned.
- Maintain electronic and paper accounting files.
- Support annual audit preparation.
- Assist with payroll backup when needed.
- Answer accounting-related phone calls and emails.
- Scan and organize accounting documents.
- Maintain filing systems.
- Prepare reports using accounting software and Microsoft Excel.
- Assist other accounting team members with special projects.
- Other duties as may be necessary to fulfill the responsibilities of this position.
Knowledge, Skills, and Abilities:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The attributes listed below are representative of the knowledge, skill, and/or ability appropriate for the level of work performed.
- Associate degree in Accounting, Business, or related field preferred.
- 1–3 years of accounting or bookkeeping experience preferred.
- Construction accounting experience is a plus but not required.
- Understanding of accounts payable and general accounting principles.
- Strong attention to detail and organizational skills.
- Excellent communication and customer service skills.
- Ability to prioritize multiple deadlines in a fast-paced environment.
- Proficient in Microsoft Excel, Outlook, and Word.
- Experience with construction ERP software (Spectrum, Vista, Foundation, Sage 300 CRE, or similar) preferred.
- Experience with Microsoft Office 365.
- Ability to learn construction management software and document management systems.
- Knowledge in Construction billing, AIA payment applications, Retainage, Certificates of Insurance (COIs), Vendor management, and Subcontract administration, is desired.
Working Conditions:
In a typical 8-hour workday, employee will usually; sit at least seven hours, stand at least half hour and walk at least half hour. Employee's job requires occasionally to; bend/stoop, squat/crawl, reach above shoulder, crouch/kneel, push/pull, lift/carry up to 25 pounds. Employee job requires frequently using hands for repetitive action such as simple grasping and fine manipulating. Work hours are generally during normal business hours. However, unscheduled weekend and evening work may be required.
