We are a dynamic and creative interior design company looking to hire a friendly, organized, and reliable receptionist to join our team. As the first point of contact for visitors, clients, and vendors, you will play a key role in ensuring our office runs smoothly and efficiently. Summary: To perform secretarial duties to provide administrative and organizational support for the office by performing the following duties.
Duties and Responsibilities include the following. Other duties may be assigned.
Opening the Showroom
· Lights on and door unlocked; music on
· Fill snacks and condiments turn on coffee maker & fill water reservoir
· Stock refrigerator with water/drinks
· Empty common area trash if full; Check restroom supplies
· Walk through showroom to be sure it is neat, tidy & organized for the day - all samples in their place
· Fill copy machine with paper
Daily
· Greet homebuyers (by name if possible) & other visitors as they arrive; offer them a beverage and make them feel welcome
· Answer phone calls and communicate messages to designers and managers
· Check the mail & distribute. Deposit checks into correct company account.
· Maintain snacks/drinks as needed on a busy day, as well as kitchen/restroom/office supply areas
· Help keep samples picked up after appointments, or between back-to-backs (assisting designer as time permits)
Weekly
· Order office supplies; this includes snacks/paper products/stamps/cleaning supplies
· Verify that showroom cleaning, window washing, etc. is being completed to a high standard. If not, notify manager
Miscellaneous/As needed
· Trouble shoot copier/printer when there is a problem. If unable to resolve, send email to IT.
· Contact IT Support when designers are unable to login to their computers, or use their phone
· Order/Pick-up lunch/morning snacks when needed for builder meetings (upon request)
· Set up for Builder meetings in your showroom when scheduled by an Account Manager
· Clean up after scheduled business lunches/PKs/meetings
· Send out packages and take to drop box locations (as needed)
· Additional responsibilities as requested by Management team
End of Day
· Lights off and door locked/alarm set (if you are last to leave)
