Overview
Our small business needs a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to our entrepreneurial founder. The ideal candidate will possess exceptional administrative skills, skilled with Ai, a strong attention to detail, familiarization with formulating Best Practices, and the ability to manage multiple tasks efficiently. This hands-on role is crucial in ensuring the smooth operation of our small business and supporting various projects/events.
Duties
- Provide executive administrative support, including completing specific assigned projects as-well-as overall streamlining executive work areas
- Streamline office and retail operations, including re-organizaction of workspace.
- Utilize QuickBooks for bookkeeping tasks + performance record management.
- Assist in project coordination by tracking progress, deadlines, and deliverables.
- Solid phone etiquette while tweaking standard operating procedures
- Proofread documents for accuracy, organization, and clarity before distribution.
- Maintain customer service excellence by responding promptly to requests.
- Utilize Apple/Mac platform for document creation, collaboration, and communications.
- Knowledge and experience with AI platforms, specifically Claude.
Experience
- Familiarity with office management practices + standard operating procedures is essential.
- Strong typing skills with a high level of computer literacy, particularly in Apple Macintosh applications.
- Excellent organizational skills with the ability to prioritize tasks effectively.
- Experience with filing systems and maintaining accurate records is preferred
