Job Specifics: Part-time, 16 hours per week, Saturday & Sunday. Day shift hours: 7am-3:30pm
Compensation: $27.00/hour or $27.96/ hour if bilingual in English/Spanish
Benefits: Path Home will contribute an amount equal to 2% of the employee's total annual salary into a Simple IRA.
Paid Time Off: Three weeks of Paid Time Off (48 hours) plus Paid Sick Time (40 hours) annually. Some paid holidays depending on schedule.

Overview:
The Front Desk Coordinator plays a critical role in supporting families experiencing homelessness by fostering a safe, welcoming, and well-organized environment at the shelter. As the first point of contact for families, visitors, and community partners, this position sets the tone for each person’s experience at the shelter and helps ensure that everyone is treated with dignity, compassion, and respect.
In addition to warmly greeting and engaging with families, the Front Desk Coordinator ensures that essential shelter operations run smoothly behind the scenes. This includes maintaining accurate records, communicating clearly with staff across shifts, managing daily check-ins, and keeping shared spaces clean and functional. The role also supports families through transitions, such as arrivals and move-outs, and remains attentive to needs that may arise throughout the shift.
This is a vital position within our trauma-informed, family-centered model of care. The Front Desk Coordinator should be organized, calm under pressure, and committed to creating a stable and supportive atmosphere where families can begin to heal and rebuild.
Specific Job Duties:
Family and Visitor Services and Engagement
- Greet all shelter families, visitors, volunteers, and service providers in a welcoming, respectful, and trauma-informed manner.
- Alert Path Home staff when meeting guests arrive by texting their work phone.
- Provide general information, directions, and assistance as needed, or refer visitors to appropriate staff.
- Serve as a consistent, supportive presence at the front desk to promote a positive shelter environment.
- Answer the Family Village Shelter front desk phone, address incoming questions, or direct callers to appropriate staff.
- Distill and tailor communications based on who you’re talking to, avoiding gossip.
Documentation and Special Tasks
- Read and respond to work emails.
- Read and update Daily Shelter Logs with important family or volunteer information.
- Check for and send out Remind messages to families as applicable.
- Record and verify nightly family check-ins on the roster.
- Scan and upload Prevention applications into the appropriate system or folder.
- Create move-out packets to support families transitioning out of shelter, ensuring there are 5 copies ready at all times.
- Transfer daily safety checks into participants' individual client files.
- Record and process in-kind donations for the family supply room.
- Pre-screen and complete background checks for referred families.
- Manage mail and packages following Path Home’s mail and package acceptance procedure.
- Deliver any required documents to families, such as one month warning or extension letters.
Common Area Oversight
- Manage opening and closing of the living room area to support open hours and quiet hours.
- Keep the front desk and credenza tidy and sanitized; organize papers, remove dishes, and maintain an orderly workspace.
- Uphold the principles of trauma-informed design by keeping a sense of spaciousness and decreasing clutter.
- Conduct walkthroughs of the living room spaces every 30 minutes to ensure community guidelines are being followed.
- Address minor concerns with families directly and log all notable observations or issues.
- Take initiative and demonstrate follow through to keep Family Village clean and welcoming for families and guests.
Supply Room Coordination
- Assist families in the supply room, ensuring items are noted accurately in the Supply Room log when distributed.
- Organize supplies and clean the space by removing trash and recycling, sweeping, and sanitizing surfaces.
- Perform a visual inventory and update the Shopping List on the Family Village shared Drive when items are low or out of stock.
Equipment and Technology Management
- Charge and maintain the front desk phone and tablet to ensure they are always operational.
- Check out and track the return of the game console kit and remote controls to ensure timely and complete returns.
Food and Delivery Coordination
- Receive food, meals, donations, supplies and any other deliveries as they arrive.
- Use the lift to send items to the kitchen area.
- Notify appropriate staff of arrivals via phone to ensure proper handling of deliveries.
Greet and direct volunteers
- Greet all volunteers, ensure they are checked in and have a name tag
- Help volunteers access the volunteer closet
Skills and Abilities:
- Build relationships and interact respectfully with parents and children with diverse backgrounds and lifestyles. This involves directly interacting with children on a regular, daily basis.
- Be compassionate and non-judgmental in responding to families in need. Understand the effects of trauma and how trauma can impact homelessness and poverty.
- Maintain composure and facilitate order in a stressful environment with a particular focus on the stressors of communal living, parenting, and homelessness.
- Must be able to maintain strict confidentiality and boundaries with participants.
- Must be highly collaborative and able to work as a team to problem solve, as well as work independently and take initiative.
- Communicate clearly and concisely with families and staff with a particular focus on verbal and written communication.
- Attention to detail in receiving, prioritizing, and directing information.
- Use computers and mobile devices to access email, voicemail, texts, and documents stored in a cloud-based system.
- Be able to learn new skills and apply that knowledge to different situations.
- Be flexible in work routine and approach to daily schedule.
- Essential job functions may include bending, stooping, kneeling, squatting, twisting, reaching, pulling, and lifting heavy objects.
Minimum Qualifications:
- Must be reliable and show up to work on time during every scheduled shift.
- Must be self-motivated and able to work on a team collaboratively.
- Experience working with individuals or families experiencing homelessness and a knowledge of local social services is a plus.
- Experience with customer service and crisis intervention preferred.
- Familiarity with computers and software such as Google Suite (G Suite) as well as the ability to utilize computers and mobile devices to access information via the internet is necessary.
