Laila's Way Behavioral Services is seeking an organized, proactive, and compassionate Program Manager to oversee the daily operations of our Center-Based ABA Program.
The Program Manager serves as the operational lead for the clinic, ensuring that clients receive high-quality services while supporting staff, maintaining compliance, and promoting efficient day-to-day operations. This position works closely with the Director of Operations, Executive Director, Licensed Behavior Specialists (LBSs), Assistant Behavior Consultants (ABCs), and Behavioral Health Technicians (BHTs) to ensure smooth clinic operations, appropriate staffing, excellent client experiences, and regulatory compliance.
Essential Responsibilities
Clinic Operations
- Oversee the daily operations of the Center-Based ABA Program.
- Ensure appropriate client and staff scheduling to maintain service delivery.
- Monitor daily attendance for clients and staff.
- Assist with coverage planning when staff call out or schedules change.
- Maintain clinic organization, cleanliness, and readiness for daily programming.
- Coordinate client admissions, discharges, and schedule changes.
Staff Support
- Provide day-to-day operational support to clinic staff.
- Assist with onboarding and orientation of new employees assigned to the clinic.
- Serve as the primary operational resource for staff questions and concerns.
- Promote a positive and collaborative work environment.
- Communicate operational updates to leadership and staff.
Client & Family Relations
- Serve as a point of contact for families regarding scheduling and operational concerns.
- Ensure excellent customer service and timely communication.
- Assist families with scheduling, attendance concerns, and clinic-related questions.
Compliance & Quality Assurance
- Monitor documentation completion and submission deadlines.
- Conduct routine audits of client records and staff documentation.
- Ensure compliance with IBHS regulations, payer requirements, and company policies.
- Assist with licensing, accreditation, and payer audits as requested.
- Track required staff certifications, clearances, and training compliance.
Administrative Responsibilities
- Maintain accurate reports related to attendance, staffing, productivity, and clinic operations.
- Coordinate clinic supplies and equipment.
- Assist with ordering materials and maintaining inventory.
- Participate in leadership meetings and operational planning.
- Identify workflow improvements and recommend operational efficiencies.
Minimum Qualifications
- Bachelor's degree in Healthcare Administration, Psychology, Education, Business Administration, Human Services, or a related field preferred.
- Minimum of two (2) years of experience in behavioral health, ABA, healthcare operations, or program management.
- Experience working in an ABA or IBHS setting strongly preferred.
- Demonstrated leadership or supervisory experience.
- Strong organizational and time management skills.
- Excellent communication and problem-solving abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with Microsoft Office and Google Workspace.
- Experience with CentralReach or another electronic medical record (EMR) system preferred.
Preferred Qualifications
- Registered Behavior Technician (RBT) certification.
- Experience managing a center-based ABA program.
- Experience with scheduling, staffing, and operational oversight.
- Knowledge of Pennsylvania IBHS regulations.
- Experience with quality assurance or compliance monitoring.
