The Office Administrator plays a vital role in ensuring our office operates efficiently while providing an outstanding experience for everyone who connects with Home Instead.
Responsibilities
- Serve as the primary point of contact for incoming calls, visitors, clients, families, Care Professionals, and applicants
- Create a positive and professional first impression of Home Instead
- Manage office communications, correspondence, and general administrative functions
- Support caregiver recruitment, onboarding, and employment documentation
- Assist clients and families by directing inquiries and ensuring timely follow-up
- Maintain accurate records, files, and databases
- Support scheduling and staffing-related administrative activities
- Prepare reports, forms, and office documentation
- Coordinate office supplies, equipment, and daily operational needs
- Assist leadership with projects and office initiatives
Qualifications
- Previous office administration, administrative assistant, customer service, or healthcare office experience preferred
- Exceptional communication and interpersonal skills
- Strong organizational and multitasking abilities
- Professional, friendly, and customer-focused demeanor
- Proficiency with Microsoft Outlook, Word, and Excel
- Ability to prioritize competing tasks and work independently
- High attention to detail and confidentiality
