Responsibilities
- Greet visitors, clients, and vendors with enthusiasm and professionalism, ensuring they feel welcomed and valued.
- Handle multi-line phone systems efficiently, directing calls accurately and courteously using proper phone etiquette.
- Manage appointment scheduling, calendar coordination, and reminders using productivity software such as Microsoft Office and Google Workspace.
- Perform data entry tasks with precision, maintaining accurate records of appointments, correspondence, and other administrative details.
- Support office management duties including filing, proofreading documents, and organizing supplies to keep the workspace efficient.
- Assist with basic bookkeeping tasks using QuickBooks or similar software to support financial recordkeeping.
- Provide excellent customer support by addressing inquiries promptly and professionally across various communication channels.
Requirements
- Proven experience in office management or administrative roles, preferably as a front desk or medical/dental receptionist.
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and productivity software.
- Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Exceptional phone etiquette skills and experience managing multi-line phone systems.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Demonstrated clerical experience including data entry, filing, proofreading, and document management.
- Familiarity with medical or dental receptionist duties is a plus but not required; relevant personal assistant experience is also beneficial.
- Strong time management skills with the ability to multitask efficiently while maintaining accuracy.
- Technical proficiency in office equipment such as printers, scanners, and fax machines is preferred.
