Job Overview
We are seeking a dedicated and organized Receptionist/Assistant to join our team at a leading Property & Casualty insurance agency. The ideal candidate will be the first point of contact for clients and visitors, offering exceptional customer service while supporting the day-to-day operations of the office. This role requires excellent communication skills, strong office management abilities, and a capacity to multitask in a fast-paced, dynamic environment.
Responsibilities
- Warmly greet clients and visitors as the first point of contact, ensuring a positive and professional first impression of our agency.
- Manage incoming phone calls with professionalism, assisting clients with insurance inquiries and routing calls to the appropriate team members.
- Schedule and coordinate appointments for insurance consultations, policy reviews, and other client meetings using office scheduling systems (e.g., Google Workspace).
- Assist with data entry and administrative tasks, ensuring accurate client records, policy documentation, and claims information are entered and maintained in our database.
- Organize and maintain office files, both digital and physical, for easy access and efficient management of client and policy documents.
- Support the team with day-to-day office operations, including ordering office supplies and maintaining office equipment to ensure smooth workflow.
- Provide general support to insurance agents and staff, including responding to client inquiries, preparing materials for meetings, and assisting with policy renewals and claims follow-ups.
- Communicate effectively with clients and colleagues, ensuring clarity and understanding of insurance services, policy details, and claims processes.
- Ensure confidentiality of sensitive client and insurance information in compliance with privacy laws and agency policies.
- Occasional travel to other office locations may be required. Mileage will be reimbursed in accordance with company policy.
Requirements
- Previous experience in office administration or receptionist roles preferred, especially within an insurance, financial services, or customer service environment.
- Proficiency with office software (Google Workspace, Microsoft Office, etc.) and familiarity with client management software is a plus.
- Strong phone etiquette and excellent customer service skills, with the ability to address client concerns and provide helpful information about insurance products and services.
- Bilingual candidates are highly desirable to assist our diverse client base.
- Attention to detail and accuracy in data entry, document handling, and communication.
- Strong organizational and multitasking abilities, with a proven ability to prioritize tasks in a fast-paced environment.
- Positive attitude and a willingness to learn and grow within a supportive, team-oriented office.
- Familiarity with insurance terminology or P&C products is a plus but not required—training will be provided.
