We are seeking a dynamic and highly organized Personal Assistant-Law Help to support legal professionals and executives in a fast-paced, client-focused environment. Duties
- Manage and coordinate calendars for attorneys and legal staff, ensuring all appointments, court dates, and meetings are accurately scheduled and updated using Microsoft Outlook Calendar or Google Workspace.
- Prepare, proofread, and transcribe legal documents, correspondence, and reports with precision using productivity software and transcription tools.
- Organize and facilitate client meetings, including booking conference rooms, setting up video conferencing via software like Zoom or Microsoft Teams, and handling all technical arrangements.
- Assist with case file management by maintaining organized filing systems—both digital and physical—and ensuring confidentiality of sensitive information at all times.
- Support project coordination efforts by tracking deadlines, preparing status reports, and collaborating with internal teams to meet objectives efficiently.
- Handle office management tasks such as data entry, bookkeeping with QuickBooks, managing multi-line phone systems, and overseeing general clerical duties including filing, faxing, and front desk responsibilities.
- Make business travel arrangements for legal professionals including booking flights, accommodations, transportation, and preparing itineraries.
Qualifications
- Proven experience as a personal assistant or executive assistant within a legal or professional services environment.
- Strong organizational skills with the ability to multitask effectively in a fast-paced setting.
- Excellent written and verbal communication skills with professional phone etiquette.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Docs, Sheets), video conferencing software (Zoom, Teams), and DocuSign for electronic signatures.
- Familiarity with QuickBooks for bookkeeping tasks is preferred.
- Demonstrated ability to handle confidential information discreetly and responsibly.
- Experience in event planning and managing multiple projects simultaneously is highly desirable.
- Technical proficiency in office management tools along with strong typing skills for efficient data entry and transcription work.
